Why is this role important?
The Project Associate plays a vital role in supporting the assigned team by coordinating client support and managing the dissemination of information related to various projects within the assigned program area. This role involves coordinating client registration for e-reporting tools, maintaining stakeholder communications, assisting with project materials distribution, and providing timely client assistance to ensure smooth project operations.
Funded by Health Canada, the Canadian Organ Donation and Transplantation Data System (CanODT) is a current pan-Canadian database, managed by CIHI, which launched and began receiving data in 2025. It aims to collect and report on vital organ donation and transplantation across Canada,



with the goal of enhancing research and supporting improvements to donor and transplant care delivery and outcomes to improve the lives of Canadians

What you'll do
Provide direct client support and coordinate with Central Client Services on data submission, registration, and access to e-reporting tools.
Manage electronic mailboxes related to projects and ensure timely responses to client inquiries.
Maintain and update pan-Canadian stakeholder contact lists and distribution lists within the corporate Client Relationship Management (CRM) system, addressing any discrepancies.
Coordinate the distribution of reports and materials for internal and external committees, stakeholder groups, and educational workshops (including face-to-face, teleconference, and web conferences).
Assist with activities related to annual system changes, including user acceptance testing.
Support administration of the Data Dissemination Tool for data preview and quarterly indicator reports as needed.
Participate in meetings and assist with minute-taking.
Perform other project-related administrative duties as assigned.

What you'll bring to the table
Undergraduate degree in Health Sciences, Business Administration, Social Sciences, Communications or related field, or equivalent combination of education and related experience.
Minimum 1 year of related experience in client support, project coordination, or a similar role.
Experience in establishing and maintaining relationships with stakeholders.
Experience in improving administrative and project management processes to enhance efficiency.




Familiarity with information management tools and project/program management processes.
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Excellent written and oral communication skills.
Ability to learn new concepts quickly and assimilate information accurately.
Proficiency in Microsoft Office applications including Project, Word, Excel, Outlook, and PowerPoint.
Ability to work independently with minimal supervision as well as collaboratively within a team.

Additional Requirements
Primary locations: Toronto or Ottawa.
Must comply with all CIHI workplace policies, including privacy and confidentiality.
Fluency in English is required, bilingualism in both official languages is an asset.
