About us:
Established in 1995,Kids Kottage is a charitable organisationthatprovides24/7careand shelterfor children aged 0-10who cannot safely remain at home during times of crisis.

The Opportunity:

Monday-Friday, 30 hours per week, with the possibility of increased hours

Flexibility in daily scheduling (e.g., 9:00am-3:00pm, 8:30am-3:30pm, etc.)

The Executive Support Lead serves as a strategic coordinator for the Executive Director, Development Director, and Board of Directors, helping align priorities and support key governance, donor engagement, and external relationship activities. This position combines coordination, systems thinking, and relationship management. The ideal candidate will bring strong digital fluency and use technology, including artificial intelligence, to improve workflows, reduce manual work, and support more effective decision-making.

KeyResponsibilities:

Managescalendars, scheduling, and priority alignment across leadership activities

Coordinatesand preparesfor donor, stakeholder, and leadership meetings, including briefing materials and logistics

Draftscorrespondence and preparesmaterials to support donor engagement and leadership decision-making

Donor & Stakeholder Support

Maintainsaccurateand up-to-date records within the donor management system, including creating and updating donor and stakeholder profilesand tracking interactions

Supportsdonor communications, including coordinating outreach and responding to inquiries

Buildsandmaintainspositive, professional relationships with donors and stakeholders

Board of Directors&Expansion; Task ForceLiaison

Coordinatesboard, committee,and expansion task force meetings, including scheduling, agendas,



and preparingboard packages and supporting documents

Recordsminutes, trackdecisionsand action items, and supportsfollow-upon keypriorities

Maintainsboard records and governance documentationin accordance withorganizational requirements

Systems, Technology & Workflow Improvement

Usesdigital tools and AI to streamline workflows and improve efficiency across leadership and development functions

Buildsandmaintainssimple systems such as templates, trackers, and internal workflows as needed

Identifiesopportunities to improve coordination, reduce duplication, and strengthen information flowwhile maintaining organized, accessible digital files and systems

Administrative Team & Office Coordination

Coordinatesscheduling and workflow across the administrative team

Supportsalignment and consistency in administrative processes

Providesreception coverage as needed, including greeting visitors and responding to general inquiries

General Responsibilities

Maintainsorganized records across systems

Anticipatesneeds and followsthrough on priorities with minimal direction

Takeson a wide range of responsibilities and projects asrequired

Qualifications& Skills:

Experienceina coordination, administrative,logistics,or similar role supporting seniorstaff

Strong digitalproficiency, includingCRM/relationshipmanagementsystemsand Microsoft Office

Provides andmaintainsclear Police Information Checksand Child Intervention Record Checksaccording to policy and procedures.

Experience supporting fundraising,



donor relations, or external engagement is an asset

Experience working with boards or governance structures is an asset

Strong ability to manage competing priorities with minimal direction

Comfortablemanagingmultiple priorities in a fast-paced environment

Strongwritten and verbal communication skills

Handlessensitive and confidential information with discretion

Willing to take on a wide range of responsibilities and learn new skills

Positive, grounded, and brings energy to their work

Friendly and approachable, with strong relationship skills

Primarilyon-siteatKids KottageAdministration Office. Some flexibility for work from home whenappropriate.

30 hours per week,Monday to Friday with flexibility in scheduleand possibility for increased hours.

Benefits & Remuneration:

The hourly range for this position is $27.00 to $33.00 per hour, based on education and experience.

Comprehensive, competitive, extended health benefits package for full-time positions of 30 hours a week or more.
