The Executive Assistant & Operations Manager would be joining a close-knit group that includes a Managing Director, Principal, Senior Associate, and Controller, with regular interaction with our board of directors and portfolio company partners, and investors.

The Role: This position is responsible for managing all administrative components of our business while maintaining the day-to-day office and operational activities alongside of key responsibilities with on site office management. The Operations/ Executive Assistant ensures that we are meeting all deadlines, prepared for functions, events and documentation is prepared in advance of such deadlines. This role supports our leadership team, helps coordinate board and portfolio company obligations, and ensures important details do not fall through the cracks. We are looking for someone who is organized, thoughtful, discreet, and comfortable anticipating what needs to happen next and the willingness take on a variety of tasks. The candidate needs to come with experience working around financial reporting timelines, board materials, corporate records, and confidential information. The candidate will have experience working independently and with ambiguity given the size, and nature of the business.

Key Responsibilities and Deliverables

Operations/ Executive Assistant

1.Board and Executive Support

- Manage calendars, scheduling, travel arrangements, and correspondence for the Managing Director, Principal, and Senior Associates.
- Coordinate board meetings from start to finish, including scheduling, preparing materials, taking minutes, and following up on action items.



Proofreading materials and ensuring quality work is a consistent standard.
- Maintain a master calendar of key dates, including board meetings, reporting deadlines, and portfolio company year ends.

2.Financial Reporting Coordination:

- Work with the controller to keep financial reporting timelines organized and on track.
- Monitor reporting deadlines across portfolio companies and follow up on outstanding inputs when needed.
- Maintain transparent records of corporate relationships, contacts, and networking activity.

3.Document and Systems Management

- Administer the firm’s SharePoint environment, including structure, permissions, version control, and ongoing maintenance.
- Organize deal documents, contracts, corporate records, and related files with a high degree of accuracy.
- Draft, format, and polish internal memoranda and presentation materials.

4.Office and Operations Management

- Oversee the day-to-day operations of the Ottawa office.
- Notice operational or communication gaps and help address them before they become problems.
- Develop simple, practical processes that help a small and growing team stay coordinated.

Background Experience and Qualifications:

- Undergraduate degree preferred, and/or a law clerk, finance or business administration diploma required.
- Minimum of 3 years of work experience in full-time administrative capacity, ideally in a legal, finance-related, or similarly deadline-driven environment.
- Preference will be given to administrative experience working with owners, executives and boards. Ideally administrative experience that has shared responsibility with operations and project management.
- Strong communication skills and the ability to interact credibly with board directors, founders, internal team members, and external partners.




- Excellent organizational skills, with the ability to anticipate needs, identify gaps, and follow through independently.
- Advanced proficiency in Microsoft Office, with hands-on experience administering SharePoint, and other finance systems as the firm may adopt new software in the future.
- Sound judgment when handling confidential and financially sensitive information and technology proficiency to reduce cyber threat and phishing scam or other digital threat.
- Comfort working in an ambiguous, fast-paced environment where priorities can shift quickly. Competing deadlines and requirements.
- Experience in private equity, venture capital, professional services, or a related environment.
- Bilingualism in English and French is considered an asset as the firm has primary offices located in Montreal Quebec, and now Ottawa, Ontario

The anticipated salary range for this position is approximately $65,000–$85,000 per annum, depending on the successful candidate’s experience, qualifications, and overall fit for the role.
