Reporting to the Director of Finance and working closely with the Financial Controller, the incumbent has a dual role: supporting both the accounting operations and payroll processing of the institution. They are responsible for the accurate and timely processing of payroll for approximately 30 salaried office employees and 100 unionized hourly employees, while also contributing to period-end closing procedures, financial reporting, internal controls, and compliance with applicable Quebec laws.
This operational, detail-oriented position is suitable for an accounting professional with a positive knowledge of Quebec regulations regarding payroll, collective agreement administration and generally accepted accounting principles.
Tasks
Payroll administration
- Process payroll every two weeks for 30 salaried employees and 100 unionized hourly employees, in accordance with applicable legislation.
- Administer payroll in accordance with the provisions of the collective agreement, including shift premiums, overtime rules, seniority-related adjustments, and statutory holidays as provided for in the Quebec Labour Standards Act.
- Managing payroll deductions, including federal and provincial source deductions, QPP and QPIP contributions, CNESST contributions, union dues, and group insurance premiums
- Maintain up-to-date employee files: new hires, terminations, leaves of absence, salary changes, and classification updates
- Coordinate year-end payroll processes: prepare and distribute T4, T4A and Relevé 1 slips; reconcile payroll accounts and submit annual summaries to the CRA and Revenu Québec
- Collaborating with human resources to resolve pay discrepancies and ensuring compliance with compensation-related grievance procedures
- Administer CNESST files, salary maintenance, and coordinate long-term disability benefits in partnership with human resources
- Manage holiday allowances, holiday payroll, and banked hours tracking in accordance with the collective agreement and applicable legislation.
- Respond to employee payroll inquiries professionally, promptly,
and in both languages (French and English).
Accounting and financial reporting
- Supporting the controller during monthly and annual closings (journal entries, accrued expenses, reconciliations), including the preparation and reconciliation of cash flow on a daily basis.
- Manage the complete accounts payable cycle, including the validation, processing, and tracking of supplier invoices.
- Prepare and reconcile general ledger accounts related to payroll, including salaries, benefits, vacation allowances, and mandatory employer contributions.
- Contribute to the preparation of monthly financial statements, variance analyses, and management reports.
- Maintain and reconcile assigned balance sheet accounts; detect and correct discrepancies in a timely manner
- Supporting internal and external audit processes by preparing schedules, documentation, and responding to auditors’ requests.
- Contribute to the development and monitoring of internal controls related to payroll and financial reporting
- Supporting cost accounting activities, including labor costs, overhead allocation, and manufacturing variance analysis
- Contribute to monitoring capital expenditures and preparing asset continuity statements
- Ensure compliance with GAAP, Revenu Québec requirements, CRA requirements, and applicable provincial regulations
Systems and process improvement
- Maintain and optimize payroll and HRIS systems; ensure data integrity between payroll, human resources, and general ledger systems
- Identify opportunities for improvement and automation of payroll and accounting processes
- Develop and maintain standard operating procedures related to payroll and related accounting processes
- Produce ad hoc reports for the finance, human resources, and operations departments, as needed.
Required qualifications
- Bachelor’s degree, certificate or DEC in accounting, finance or a related field required
- Payroll Compliance Practitioner (PCP) certification issued by the National Payroll Institute is an asset
Skills
Required skills
- Proficiency in payroll software (e.g. Nethris , Employer D, ADP, Ceridian or equivalent)
- Excellent command of Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, financial modeling)
- Experience with an ERP system (SAP, Oracle, Sage or similar) preferred
- Good knowledge of Quebec legislation regarding payroll: Labour Standards Act, RQAP, RRQ, CNESST and Revenu Québec requirements
- Knowledge of GAAP and financial reporting standards applicable to Canadian private companies
Personal skills and abilities
- Excellent command of French and English, both spoken and written; ability to communicate effectively with unionized employees, management and government agencies in both languages.
- Rigour, attention to detail and integrity in the handling of confidential compensation data
- Excellent organizational skills and ability to manage simultaneous deadlines, including payroll cycles and financial closings.
- Team spirit and ability to collaborate effectively with the controller, human resources, operations, and union representatives
- Ability to proactively solve problems and a focus on continuous improvement
- Ability to work comfortably in a fast-paced, unionized, manufacturing environment
