Administrative Assistant – Full-Time
We are looking for a reliable, organized, and motivated Administrative Assistant to join our Toronto team.
We are an established organization that has been in business since 1985. Our head office is located in Montreal, and this position is based at our Toronto location.
Our Toronto location has two parts. The front of the store is a retail business that sells board games, chess products, and other items. We are also a FedEx drop-off and PenguinPickUp location, so the job includes helping customers and handling incoming and outgoing packages.
The back of the store is a not-for-profit organization. We run chess tournaments, camps, and after-school programs in elementary schools.
This is a hands-on role with a mix of administrative work, customer service, sales, shipping and receiving, and support for our programs.
What You’ll Do
- Answer phone calls and emails
- Communicate with parents, schools, customers, and other organizations
- Help customers in the store
- Create and send invoices to instructors and schools
- Process sales and answer questions about products
- Receive, organize and prepare packages and shipments
- Help customers with FedEx and PenguinPickUp services
- Assist with registrations, schedules, and records for tournaments, camps, and school programs
- Create simple marketing materials using Canva
- Respond calmly and professionally to customer or parent concerns
- Keep the store and workspace organized
- Communicate with our Montreal head office when needed
- Work independently when scheduled alone on Saturdays
- Take on other administrative and day-to-day tasks as needed

Schedule The regular schedule is:
- Tuesday to Friday: 10:00 a.m.–6:00 p.m.
- Saturday: 11:00 a.m.–6:00 p.m.
When other employees are available to cover the weekend, the schedule will be Monday to Friday from 10:00 a.m.–6:00 p.m.
You will always know at least two weeks in advance if you are required to work a Saturday.
Weekday shifts are eight hours long and include seven paid hours and a one-hour unpaid lunch break.
Please note that you may work alone on Saturdays. For this reason, you must be willing to learn the business well enough to confidently handle the store and its regular operations on your own.
Requirements
- Secondary School diploma
- Reliable transportation or the ability to commute to Toronto, ON M4J 1L8
- Strong communication and organizational skills
- Basic computer skills
- Ability to work independently and as part of a team
Preferred Experience
- Administrative experience: 1 year
- Related work experience: 1 year
The following would be considered an asset:
- Previous experience as an Administrative Assistant
- Retail, sales, or customer-service experience
- Shipping and receiving experience
- Knowledge of board games or chess
- Experience with Canva
