The Administrative Assistant is responsible for administratively supporting a portfolio of Community/Program Supports at Community Living Mississauga as well as fundraising, governance, donor management, and organizational initiatives at Community Living Mississauga.
Working under the guidance a Director and in collaboration with internal and external stakeholders, this position is responsible for ensuring high-quality administrative support, supporting fundraising and community development activities, maintaining donor and membership databases, coordinating Board and committee requirements, and ensuring compliance with all applicable organizational, regional, and provincial requirements.
Description of Duties
Provide administrative support to a Director and Managers.
Prepare, coordinate, and maintain correspondence, reports, presentations, tracking tools, and other documentation as required.
Write, review, proofread and edit documentation for the team ensuring accuracy.
Responsible for providing general administrative support to Director's team as required (i.e. database management, formatting letters, photocopying, processing invoices, emailing, updating forms, etc.).
Responsible for the qualified documentation of and general administrative support for team meetings,
trainings, workshops etc. (i.e. minutes, agenda).
Ensure signatures and approvals are obtained by the proper parties.
Remain current and informed regarding organizational initiatives and priorities.
Maintain and update email marketing and stakeholder distribution lists.
Coordinate data imports, database updates, and list management activities.
Support membership communications, fundraising campaigns, organizational outreach, stakeholder engagement initiatives and donor engagement activities.
Maintain accurate donor, membership, event, and fundraising records within the organization's donor and fundraising management system.
Process donations and ensure accurate donor records.
Prepare and distribute income tax receipts and donor acknowledgements.
Provide administrative support to the Board of Directors and Board Committees as required
Responsible for supporting the work of other organizational departments as required.
Complete essential job duties in a timely manner as per established target dates.
Perform other duties as assigned.

Qualifications
Recognized certificate or Community College diploma in Office Administration or Business.
A minimum of three years full-time relevant work experience at an administration level in a non-profit or charitable organization preferred.
Independent decision making and problem-solving capabilities.
Demonstrated proficiency in database management.
Ability to apply time management skills in a fast-paced environment.
Excellent analytical, interpersonal and communication skills (oral and written).
Previous experience with file management and office administration.
Advanced skills in computer program use including Microsoft Office (Word, Excel, Outlook, Access and Power Point).
Flexibility and adaptability are essential.
Current valid First Aid/CPR certificate is required.
Fluent in French (or additional second languages) an asset.
