Reports To: Director of Enrolment

Position Overview

As a core member of a two-person admissions team, the Admissions Associate manages the full-cycle day school admissions process. This is an autonomous, self-starting role for a professional who can seamlessly balance deeply empathetic family interactions with meticulous administrative execution.

As the primary voice and face of the school for prospective families, you will guide them from initial inquiry and campus tours through Level B testing, file evaluation, enrollment, and onboarding

Key Responsibilities

Family Engagement & Event Management

- Serve as a primary contact for day school inquiries (phone, email, web), providing warm, accurate guidance on timelines, admissions criteria, and tuition relief.
- Design and lead campus tours tailored to the specific learning profiles and interests of prospective families.
- Plan, execute, and debrief high-impact admissions events (e.g. Open Houses, Info Sessions, New Family Orientations), managing everything from digital registration to physical room setup.
- Support the Director in building relationships with feeder schools, educational consultants, and community partners.
- Recruit, train, and oversee student ambassadors for tours and campus events.

Admissions, Testing & File Evaluation
- Move prospective families smoothly through the admissions funnel to meet enrollment and recruitment goals.
- Collect,



audit and summarise application files (including Psycho-Educational Assessments); independently identify potential flags, complex learning needs, or mission-alignment issues to brief the review committee.
- Independently administer, score, and interpret Level B intake assessments (specifically CTOPP, CEFI, GORT and Woodcock-Johnson tests).
- In collaboration with the Admissions review committee, support the evaluation of candidate profiles and testing data to help determine mission fit and help make final admissions selections.

Database Management and Student Retention
- Meticulously maintain student and applicant records within Blackbaud and Google Suite in strict compliance with privacy regulations.
- Help generate reports on inquiry volumes, conversion rates, and enrollment metrics to help drive strategic, data-informed decisions.
- Support the production and issue of admissions related decision letters, forms and contracts.
- In consultation with the Director of Enrolment, partner with Marketing & Communications to update admissions web content, manage promotional inventory and support marketing-related needs as they relate to admissions and re-enrolment.
- Co-lead the annual re-enrollment process for current families, tracking contracts and metrics while collaborating with the Parent Community (FAPC) to welcome current families.

Qualifications & Experience

- Education: Degree or diploma in Business Administration, Education, Communications, Marketing, or a related field. Coursework/certification qualifying you for Level B testing is required.
- Experience: 5+ years of progressive admissions or recruitment experience within an independent school or higher education setting.



Deep familiarity or experience working with neurodiverse learners is highly desirable.
- Technical Skills: Advanced proficiency in Google Suite and hands-on experience with complex student databases (Blackbaud experience is a major asset).
- Communication: Exceptional verbal and written English skills with an approachable tone, a sharp eye for proofreading, and high emotional intelligence.

Compensation

The salary range for this position is $35,000 – $45,000 per year (based on a 0.5 FTE scale of $70,000 – $90,000). with the final salary within this range determined based on the successful candidate's specific experience, education, and leadership background.
