POSITION SUMMARY
Reporting to the Manager, Alumni Affairs, the Advancement Officer,
Engagement is responsible for coordinating a program of dynamic and inclusive in-person and online events for alumni throughout the year. Working with volunteers and colleagues to produce innovative lectures, receptions and events, as well as contributing to the development and delivery of a communications strategy, the focus of this role is to provide meaningful engagement opportunities to alumni and friends.
The Advancement Officer, Engagement, will also support Development & Alumni Affairs colleagues to identify potential donors to St. Michael’s based on engagement in Alumni Affairs programming.
DUTIES & RESPONSIBILITIES
Event and Program Management
- Participates in the planning and execution of Alumni Reunion activities and other annual alumni and donor events.
- Coordinates event requirements including room layouts, catering arrangements, technology/AV requirements, vendor communication, and event materials.
- Works with vendors, caterers, suppliers, and internal teams to coordinate event services and ensure successful delivery.
- Provides direction and support to volunteers, work study students, and event support staff by assigning tasks, monitoring progress, and providing feedback.
Alumni and Donor Engagement
- Supports the development of meaningful engagement opportunities that strengthen alumni connections with St. Michael’s.
- Collaborate with Advancement colleagues to identify, cultivate, and engage potential donors through alumni programming and events.
- Serves as a representative of the University of St. Michael’s College within and beyond the University community, demonstrating the importance and impact of alumni engagement.
Communications & Content Development
- Supports the development of communications for alumni and donor engagement activities, including invitations, e-blasts, newsletters, social media content, promotional materials, and thank-you correspondence.
- Creates, edits, and proofreads content for alumni publications, newsletters, websites, event materials, and other communications.
Administration, Reporting, and Information Management
- Maintains accurate alumni and donor information, records, reports, and event-related documentation within ARBOR and related systems.
- Ensures timely and accurate recording and coding of donor information and engagement activities.
- Maintains records related to alumni events, attendees, alumni groups, initiatives, budgets, and engagement activities
- Supports event planning by obtaining quotes, coordinating payments, submitting invoices, and maintaining financial records.
Relationship Management and Problem Solving
- Responds to inquiries and concerns from alumni, donors, volunteers, and other stakeholders in a timely and professional manner.
- Uses sound judgment, diplomacy, and problem-solving skills when addressing questions, concerns, or unexpected event-related challenges.

- Performs other duties as assigned.
QUALIFICATIONS & SKILLS
Education:
- Bachelor’s degree or equivalent combination of education and experience
Experience:
- 4 years of experience preferred in alumni programming and communications, however candidates with all experience levels will be considered
- Experience in planning and executing alumni programs, events and communications
- Familiarity with the post-secondary education workplace is an asset
Skills:
- Excellent communication skills, written and verbal, and meticulous attention to detail
- Exceptional interpersonal skills
- Superior customer service skills
- Creativity, tact, diplomacy and problem-solving skills are essential; demonstrated ability to exercise judgment and respect confidentiality

- Excellent computer skills including working knowledge of platforms that facilitate virtual engagement (ie Zoom), MS Office Suite, CRM and databases (ie Blackbaud, Raiser’s Edge, SalesForce), Adobe, Imodules
