Duties And Responsibilities
Reporting to the Chair of Law &
- Legal Studies,
and under the supervision of the Departmental Administrator, the Assistant to the Chair &
- Outreach Coordinator is responsible for administrative duties that help to ensure the smooth operation of the Chair's Office. These duties include liaising with academic and administrative offices and external agencies/individuals, arranging meetings and appointments for the Chair and various departmental committees, composing routine correspondence for the Chair, and maintaining the filing system. In addition, the incumbent provides support to faculty members, contract instructors, and visiting professors concerning departmental and University policies.
The Assistant to the Chair &
- Outreach Coordinator provides communications support by maintaining the departmental website, Facebook and other social media accounts. In addition, the incumbent helps to plan, coordinate and promote department conferences, academic talks, and special events, and assists in developing resources including publication and promotional material.
Other administrative duties include posting course outlines, maintaining the key inventory, booking departmental rooms, and entering expenses into the travel and expense system for reimbursement.
Qualifications
- Strong interpersonal and problem-solving skills, as well as good judgment, initiative, resourcefulness, tact and diplomacy, and ability to work well at all levels within an organization is required.
- Solid organizational and time management skills are required to plan and work in a systematic and rational manner, with ability to multi-task, work well under pressure and meet tight deadlines.
- Solid knowledge of office software applications and technology including the Microsoft Office Suite: Excel, Word, Access, Outlook, Exchange, Wordpress; and the main Carleton University database, Banner.
- Editing skills are required in the development and posting of information in print, on websites, Facebook, and other social media.
- Accuracy and attention to detail is essential.
- Must have experience updating websites, ideally with the Carleton Content Management System, WordPress.
- Strong event planning and coordination skills to effectively support a variety of departmental, faculty and research events and conferences, both in-person and hybrid.
- The position requires the ability to work as a team member in combined efforts to meet deadlines and emergencies.
- The position requires cultural competencies to support an inclusive environment for all students, faculty, staff, community partners and visitors.
- The incumbent may required to work outside of normal hours for event related duties.
Education And Experience The above is normally acquired through the completion of:
- Completion of a three-year undergraduate degree.
- A minimum of 4 years of related administrative experience, with at least two years of experience in an academic unit supporting outreach, including event planning and digital communication.

This position is regularly required to work on campus in person.
