Position Summary The HVAC Sales Estimator plays a critical role in driving project success by providing accurate, timely, and competitive estimates for air distribution and HVAC projects. This position serves as a key liaison between customers, contractors, sales representatives, and internal teams, ensuring project requirements are clearly understood and translated into winning quotations and successful orders. The successful candidate combines technical aptitude, strong analytical skills, and exceptional customer service to manage multiple estimating opportunities while supporting the growth of customer accounts and company revenue. This role requires attention to detail, sound judgment, and a commitment to delivering an outstanding customer experience throughout the project lifecycle.

Key Responsibilities

Estimating & Technical Analysis

- Review mechanical, architectural, and construction drawings to prepare accurate material take-offs and product schedules.
- Analyze plans, specifications, addenda, and project documentation to determine project requirements.
- Confirm product selections, dimensions, quantities, and application requirements.
- Cross-reference competitive products and identify equivalent solutions that meet project specifications.
- Utilize estimating software, Bluebeam, and internal tools to prepare detailed and competitive quotations.
- Ensure all estimates comply with company standards, project requirements, and customer expectations.

Quotation & Bid Management

- Prepare and submit accurate quotations within required deadlines.
- Manage multiple bid opportunities simultaneously while prioritizing high-value and time-sensitive projects.
- Coordinate with sales representatives and internal departments to develop competitive bid strategies.
- Track bid status and maintain organized records of quotations, revisions, and project updates.




- Follow up on submitted quotations to identify opportunities, gather feedback, and secure orders.

Customer Relationship Management

- Act as a trusted resource for assigned customers, contractors, engineers, and consulting firms.
- Respond promptly to customer inquiries regarding pricing, product applications, lead times, and technical requirements.
- Build and maintain strong customer relationships through professionalism, responsiveness, and technical expertise.
- Assist customers in identifying cost-effective and technically sound solutions for their projects.
- Resolve account and project-related issues in a timely and customer-focused manner.

Sales Support & Business Development

- Support sales initiatives by identifying opportunities to increase project wins and revenue growth.
- Collaborate closely with outside sales teams to support customer strategies and project pursuits.
- Promote and advocate for all represented products and supplier solutions.
- Assist in transitioning awarded projects from estimating through order execution.
- Participate in product training and continuous learning to maintain technical expertise and industry knowledge.

Qualifications Education & Experience

- Technical Diploma, Engineering Technology Diploma, Construction Technology Diploma, or equivalent combination of education and experience.
- Minimum 2 years of estimating, inside sales, HVAC, construction, mechanical systems, or related industry experience.
- Experience interpreting mechanical and architectural drawings and specifications.
- Experience with commercial construction projects is considered an asset.

Technical Skills

- Proficiency with Microsoft Office Suite, particularly Excel.
- Experience using Bluebeam and estimating software is preferred.
- Strong mathematical, analytical, and problem-solving abilities.
- Ability to interpret technical documents, plans, and specifications.
- Strong data accuracy and attention to detail.

- Delivering accurate and competitive estimates – consistently producing complete, timely, and accurate take-offs, quotations, and project bids that support profitable project wins and maintain customer confidence.




- Meeting bid deadlines and managing priorities effectively – successfully balancing multiple projects and customer requests while ensuring all quotations, revisions, and deliverables are completed on time.
- Providing exceptional customer support – becoming a trusted resource for customers, contractors, engineers, and sales representatives through responsiveness, technical knowledge, and proactive communication.
- Building strong customer relationships – developing credibility and long-term partnerships with customers by understanding their needs, providing reliable solutions, and following through on commitments.
- Driving sales growth and project success – contributing to increased quote-to-order conversion rates by delivering high-quality estimates, supporting sales strategies, and actively following up on opportunities.
- Demonstrating robust technical expertise – developing a thorough understanding of HVAC air distribution products, applications, specifications, and industry standards to confidently recommend solutions and identify opportunities for value engineering.
- Collaborating effectively across teams – building productive partnerships with sales, project management, customer service, manufacturing, and operations teams to ensure seamless project execution and customer satisfaction.
- Maintaining a high standard of organization and accountability – keeping project files, estimate records, quotations, and documentation accurate, current, and easily accessible while consistently meeting commitments.
- Resolving issues proactively – identifying potential project, specification, or customer concerns early and taking ownership to deliver timely and effective solutions.
- Driving continuous improvement – seeking opportunities to improve estimating accuracy, efficiency, processes, and customer service while contributing ideas that support team and business performance.
- Contributing to a positive team culture – demonstrating professionalism, accountability, initiative, and a customer-focused mindset that strengthens collaboration and supports the overall success of the division.
