Events Manager (Contract)
TO Live
Toronto, Canada TO Live is seeking an experienced Event to join our Patron & Events Services department on a full-time contract (minimum 1-year) basis.
The Event Manager, reporting to the Senior Manager of Events, will collaborate closely with the Executive Chef, Senior Manager of Food & Beverage, and TO Live’s Sales Managers to lead the planning, coordination, and execution of corporate, private, and internal events.
ACTIVITIES AND RESPONSIBILITIES
- Coordinate and execute all operational aspects of corporate, private and internal events.
- Manage event planning and logistics, including client meetings, event details, budgets and souring external vendors and resources as required.
- Coordinate event supplies and services including, rental equipment, staffing, florists and other vendors
- Collaborate with Executive Chef and clients to determine a proper menu for each event.
- Plan and oversee event space layouts in accordance with client requirements and health and safety regulations, including furniture, food stations, bars, coat check, entertainment, décor and related elements.
- Assist in the planning and execution of TO Live internal receptions and meetings
- Determine the appropriate staffing levels for both food service and bar required to deliver on event requirements.
- Ensure health and safety regulations are strictly observed by all staff working during set-up and event days, as per Toronto Public Health guidelines
- Work with Sales Manager to ensure that all costs and expenditures are within the budgeted levels agreed upon in the estimate.
- Ensure that all written communication represents a professional image to customers, clients and staff.
- Input and update relevant event information into event and billing software
- Ensure appropriate product inventory is taken prior to and at the conclusion of each event.
- Maintain professional,
positive and effective communication with clients, guests, vendors and staff.
- Perform other related duties as assigned.
JOB SPECIFICATIONS
- Three to five years experience in event management.
- The ability to work well independently on several projects concurrently, and possess excellent communication, organizational and creative thinking skills.
- Focus on maximizing revenue consistent with providing the client with value and exceptional service.
- Effective management skills within a unionized environment.
- Ability to manage simultaneous deadlines.
- Software proficiency in Microsoft Word, Excel, Power Point, is required; knowledge and experience in the event management booking software Momentus is preferred.
- Strong initiative and hospitality orientation; Project Management, organizational and prioritizing skills; problem solving and detail oriented.
- Demonstrate flexibility, pleasant persona coupled with sound judgment, discreet and able to maintain confidential information.
Working Conditions
- Extreme noise during some events.
- Ability to move freely and quickly for long periods of time.
- Able to lift 30 lbs.
- Variable hours of work depending on event schedules including late nights, early mornings, and weekends.
- Lack of natural light in workplace.
- Travel between TO Live venues as required.
