Description
The Executive Administrative Assistant provides advanced executive-level administrative and operational support to two Executive Directors within the System Strategy &
- Clinical Excellence (SSCE) team: the Executive Director, Optimization and the Executive Director, Performance Reporting &
- Operational Review (PROR). The role is responsible for coordinating complex calendars, managing executive correspondence, preparing briefing materials, supporting strategic planning and performance reporting activities, coordinating leadership meetings and committee work, and tracking action items arising from executive and organizational priorities. Working in a fast-paced and highly confidential environment, the Executive Administrative Assistant supports initiatives related to system optimization, patient-focused funding implementation, operational planning, organizational performance reporting, evaluation activities, and strategic planning processes.
The position acts as a key liaison among senior leaders, operational teams, provincial partners, and internal stakeholders, ensuring information flow, alignment of priorities, and timely completion of deliverables. The position manages multiple competing priorities across two executive portfolios and provides coordination support for strategic initiatives, planning cycles, executive presentations, reporting requirements, and special projects.

Assistant functions as a trusted resource to leadership and administrative colleagues and contributes to continuous improvement of administrative processes and operational effectiveness within the SSCE team.

Required Qualifications
High school diploma supplemented by completion of a two-year post-secondary diploma in Office Administration, Business Administration, Administrative Professional studies, or a related field. A minimum of three years' progressively responsible administrative experience supporting senior leaders in a large, complex organization. Advanced proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and virtual meeting platforms.
Demonstrated experience managing complex calendars, coordinating meetings and events, preparing executive-level correspondence and presentations, and maintaining confidential records.
Excellent organizational, communication, and interpersonal skills with the ability to manage multiple priorities and competing deadlines. Solid attention to detail, sound judgment, discretion, and professionalism.
Proven ability to establish and maintain effective working relationships with leaders, staff, and stakeholders at all organizational levels.
Experience working independently in a fast-paced environment while exercising initiative and problem-solving skills.
Additional Required Qualifications
Demonstrated ability to support multiple senior leaders while balancing competing priorities and frequently changing demands.
Experience coordinating strategic planning activities, executive meetings, action tracking, and complex scheduling requirements. Strong written communication skills with experience preparing briefing materials, meeting packages, reports, presentations, and correspondence for executive audiences. Ability to manage sensitive and confidential information with a high degree of discretion and professionalism.
Experience developing and maintaining spreadsheets, databases, tracking tools, SharePoint sites, document repositories, and records management systems. Proven ability to identify issues, anticipate leadership requirements, monitor follow-up actions, and coordinate responses across multiple stakeholders. Excellent customer service, relationship management, and problem-solving skills.
Ability to work collaboratively with leadership teams, administrative professionals, operational teams, and external partners while supporting organizational priorities and continuous improvement initiatives. Knowledge of office administration practices, records management principles, and applicable privacy and confidentiality requirements.
Preferred Qualifications
Experience within Alberta Health Services or another complex healthcare environment. Knowledge of healthcare operations, strategic planning, operational planning, performance reporting, quality improvement, or project coordination.
Experience supporting senior leaders and preparing executive-level materials. Advanced proficiency with Excel, SharePoint, dashboards, reporting tools, Oracle, or project management software is considered an asset.
