About the Lycée Français de Toronto The Lycée Français de Toronto is an educational institution with 520 students of 30 nationalities, from preschool to high school (Pre K-Gr 12), offering a French Ministry of Education curriculum up to the French Baccalaureate, with an American international option. It is part of a network of more than 520 French schools around the world affiliated with the Agency for French Education Abroad. This position reports directly to the Head of School.. The nature of the role places the successful candidate in regular contact with the entire school community. The incumbent is expected to work in accordance with the operating principles of a French educational institution while also complying with Ontario regulations.

The school is accredited at all grade levels and prepares students for the French Baccalauréat.

Key Responsibilities

Executive Assistant to the Head of School

- Manage the Head of School's schedule and calendar.
- Manage the LFT Head of School's email account and fax.
- Draft, format, translate, and distribute various documents (letters, invitations, certificates, meeting minutes, etc.).
- File and archive documents and information, both paper and digital.
- Manage the Head of School's credit card receipts and submit them to Accounting.
- Assist the Head of School in preparing documents relating to union negotiations, grievances, etc.




- Assist the Head of School and Deputy Head in the performance evaluation process.
- Welcome and, when necessary, direct parents and visitors.
- Organize elections, including voter lists and ballots.
- Assist school partners, including the Parents' Association, fundraising committee, and gala committee.

Administrative Support to School Leadership

- Draft, format, translate, and distribute various documents (letters, invitations, certificates, meeting minutes, etc.).
- Organize meetings and appointments.

Administrative Support to the Board of Directors

- Communicate with Board members.
- Distribute information.
- Format presentations.
- Participate in the Annual General Meeting.

Personnel Administration

- Manage the administrative aspects of AEFE personnel, including forms and career follow-up with AEFE and the Cultural Service of the French Embassy in Ottawa.
- Coordinate professional development and examinations for staff, including registrations, follow-up, travel arrangements (flights and hotels), and travel authorization forms.
- Provide logistical and material support for training sessions held at the school.
- Manage local recruitment through the AEFE website.
- Manage AEFE recruitment, including data entry in MAGE, receipt and filing of paper applications, follow-up on job offers, and secondment requests.

Other Responsibilities

- Enter back-to-school surveys on the AEFE management website.
- Order special meals for guests.
- Ensure the smooth running of events by preparing logistics sheets.

Candidate Profile

Education and Experience





- High school diploma or equivalent.
- 3 to 5 years of experience as an administrator or executive assistant.
- Postsecondary diploma in administration, office administration, or a related field is an asset.
- Experience in a school, educational, or institutional environment is an asset.

Required Knowledge and Skills

- Autonomy and initiative.
- Strong organizational, communication, flexibility, and teamwork skills.
- Strong interpersonal and reception skills.
- Discretion and a strong sense of confidentiality.
- Good command of French and English, both written and spoken, is required.
- Proficiency with office software and Google Workspace, with experience in database management.
- Knowledge of the French education system or French public administration.
- Ability to work effectively under pressure in a dynamic setting and interact with diverse audiences.
- Ability to represent the school in a positive and professional manner, in alignment with its values.

Working Conditions

- Weekly hours: 37.5 hours
- Permanent contract
- Salary: $55,000–$65,000 per year, depending on experience
