Scope: What this role entails
Mission
Deliver exceptional client experiences through operational excellence, bringing clarity, structure, and accountability to every project while enabling teams to do their best work.
Responsibilities
- Support Project Managers in planning, coordinating, and executing client projects from kickoff through delivery.
- Create and maintain project plans, schedules, timelines, task lists, and project documentation.
- Develop a strong understanding of client objectives, project requirements, and team workflows to effectively support project delivery.
- Support Project Managers, Account Directors, and Creative Leads in coordinating project scope, priorities, timelines, and deliverables.
- Track project progress, monitor milestones, and escalation potential risks, blockers, or scope changes when appropriate.
- Capture meeting notes, action items, and follow up to ensure accountability across project teams.
- Coordinate project kickoffs, status meetings, reviews, and retrospectives to keep projects organized and on schedule.
- Maintain accurate project documentation and ensure information is organized, current, and easily accessible.
- Work closely with Creative Operations and Project Managers to coordinate schedules, resources, and project assignments.
- Assist with project reporting, time tracking, status updates, and operational administration.
- Build strong working relationships across cross‑functional teams while contributing to continuous improvements in processes and communication.
- Take ownership of assigned workstreams while supporting Project Managers in delivering successful projects and exceptional client experiences.

Must‑haves
- Minimum 1-3 years of project coordination experience within a creative, branding, marketing, advertising, or experiential agency. Agency experience is required.
- Proven success coordinating client‑facing projects from scope through delivery in a fast‑paced agency environment.
- Strong capability to plan, prioritize, schedule, and orchestrate multiple stakeholders simultaneously.
- Strong communication skills (written, verbal, and interpersonal).
- Proficiency in modern project management tools (Asana or equivalent).
- Proficiency with Google Workspace (Drive, Calendar, Docs, Sheets, Slides, etc.).
Nice‑to‑haves
- Experience in B2B enterprise marketing and communications.
- Background in creative, marketing, business strategy, or B2B marketing.
- Experience supporting conferences, trade shows, executive events, or experiential activations.
- Interest in growing into a Project Manager role.
