Position Summary The Manager, Facilities and Transportation provides leadership, direction and oversight to the day-to-day operations of the Housekeeping and Maintenance teams to ensure that all supportive living sites, work sites, related buildings and grounds are safe, well maintained and secure. The Manager ensures appropriate systems are in place to monitor quality and safety standards and that all equipment is in satisfactory working order.

The Manager is responsible to ensure the good condition of agency infrastructure and that all facilities are safe and well-functioning. The Manager coordinates transportation routes, ensures vehicle safety and maintenance, and implements policies that promote efficient, safe, and person-centered transportation for supported individuals.

All employees are responsible for promoting and implementing Ongwanada’s mission, vision, values, and service principles, and for fulfilling responsibilities in accordance with all applicable legislation, policies, and procedures.

Primary Duties And Responsibilities

Facilities &

- Safety

- Ensure regular inspection of all work and home/living environments to ensure compliance with all health, wellness, safety legislation, regulations, policy and procedural requirements.
- Administer a Preventive Maintenance Program for all properties and equipment.
- Ensure that fire alarm systems are maintained in operational condition and respond to and participate in actions resulting from fire alarm situations.
- Co-ordinate with local and regional Fire Prevention Safety Officers and authorities to ensure homes and worksites are inspected and resulting corrective actions are implemented, documented, and followed up.
- Establish and evaluate appropriate systems to ensure cost effective and productive housekeeping & maintenance standards.

Leadership &

- Operations

- Plan, prioritize and manage the work of employees, providing strategic and tactical advice, guidance and coaching.
- Identify the need for staff resources, participate on staffing committees, and make effective recommendations regarding employee recruitment.
- Ensure that staff performance reviews are prepared,



maintained and reviewed with the staff annually.
- Develop and implement or ensure the implementation of training programs by qualified professionals for team members to achieve agency goals and objectives.
- Prepare monthly and annual reports relating to budget and Quality Assurance Programs.

Transportation

- Plan, prioritize and manage the work of employees, providing strategic and tactical advice, guidance and coaching.
- Identify the need for staff resources, participate on staffing committees, and make effective recommendations regarding employee recruitment.
- Ensure that staff performance reviews are prepared, maintained and reviewed with the staff annually.
- Develop and implement or ensure the implementation of training programs by qualified professionals for team members to achieve agency goals and objectives.
- Prepare monthly and annual reports relating to budget and Quality Assurance Programs.

Projects &

- Capital Planning

- Act as primary contact for capital projects, including creating and executing work plans, identifying required resources and assigning duties / tasks to team members.
- Review and monitor the progress of project activities on a regular basis.
- Develop scope of work with stakeholders and ensures consistency between operational needs, budget allowances and required timelines.
- Develop a short-term and long-term project list for all Agency properties.
- Liaise with appropriate agencies and stakeholders to ensure development and implementation of projects and plans.

Financial Management

- Provide information to support departmental budget, monitor expenditures and approve within agency budget policy.

Other Duties and responsibilities may change or vary based on operational requirements and/or as directed.

Education/Qualifications Required

- 2-year Diploma in Facilities Management, Operations, Fleet Management or related area of study.
- Certification in Health &
- Safety preferred.
- Certification or training in safe materials handling, including workplace hazardous materials an asset.

Experience Required

- 4-6 years related experience.
- Experience with housekeeping and maintenance trades and services is required.
- Experience using or willingness to learn Q’Straint systems and mechanical vehicle lifts.
- Experience managing a fleet of vehicles and planning transportation routes and services.
- Experience in institutional or construction settings an asset.
- Experience with software, databases, and asset tracking systems preferred.
- Experience working with persons with a developmental disability preferred.

Effort Required

- Sitting for long periods of time in meetings or at desk/computer.
- Day to day activities may lead to minor stress.
- Physical demands such as lifting, moving furniture or related items, cleaning may be required to meet operational demands.

Working Conditions

- Valid G license and access to reliable transportation.
- Flexible working hours may be required to accommodate work requirements, including emergency operational requirements.
- Some travel may be required to other work sites or community locations.
- Some work may be required to be performed outside of a normal office environment.
