Institutional Equity Sales Assistant
How does the role impact the organization?
We are looking for a highly organized, proactive and detail-oriented Institutional Equity Sales Assistant to join our Montreal Capital Markets team.
This is a fast-paced role supporting Institutional Equity Sales, Trading and Research professionals while working closely with our Corporate Access and marketing teams. The successful candidate will be comfortable operating in an environment where priorities can change quickly, deadlines matter, and accuracy and responsiveness are essential.
While previous experience in financial services or capital markets is an asset, it is not essential. We encourage applications from candidates who have demonstrated exceptional attention to detail and organizational skills in other demanding environments—particularly roles involving complex scheduling, travel and event logistics, expense management, client service or coordination across multiple stakeholders.
For someone interested in Capital Markets, this is an excellent chance to work alongside experienced Sales and Trading professionals and gain exposure to institutional equities, corporate access, client marketing and the day-to-day workings of the markets.
What will your role be responsible for?
- Provide day-to-day administrative and operational support to the Institutional Equity Sales, Trading and Research team;
- Coordinate busy calendars, meetings and other time-sensitive activities;
- Coordinate travel arrangements, including flights, hotels, ground transportation and detailed itineraries;
- Prepare, reconcile and submit expense reports accurately and on a timely basis;
- Support client marketing initiatives and bespoke corporate and analyst roadshows, including scheduling, itineraries, meeting logistics and related materials;
- Work closely with the North American Corporate Access team to maintain the events calendar and coordinate regional corporate and analyst marketing;
- Assist with the planning and execution of conferences, client events and other special events;
- Coordinate breakfasts, lunches and other hospitality requirements for internal and client meetings;
- Maintain CRM information, databases,
records and files to support the efficient operation of the team;
- Respond to calls and inquiries and ensure messages and information are directed appropriately;
- Provide timely, discreet and professional service to internal and external clients;
- Anticipate team needs, identify potential scheduling or logistical issues, and proactively help resolve them; and
- Take on additional responsibilities and projects as required
- Maintain office supplies and readiness.

- Fluency in English and French; and
Knowledge of investment concepts,
the securities industry, Capital Markets or CRM platforms is considered an asset. Education & Experience
- Post-secondary education or an equivalent combination of education and relevant experience;
- Previous administrative, coordination, client-service, events, travel, logistics or expense-management experience is preferred;
- Experience in financial services, investment banking, corporate finance, institutional equities or another Capital Markets environment is an asset, but not required.

Salary Range: $65,000 - 75,000 annually, in addition to competitive performance bonuses/incentives. Actual compensation will be determined based on skills, experience, internal equity, and other job requirements.
