Junior Bookkeeper – Part-Time / Flexible

About the Role
I am looking for a reliable, organized and trustworthy Junior Bookkeeper who would like to grow with me over the long term.
This is intentionally a small role to begin.
I am an entrepreneur launching a new business and also want to bring much better organization, visibility and consistency to my personal finances.
The first priority will be helping me organize and understand my personal financial picture.
From there, we will properly set up the bookkeeping systems for my new business from the beginning, rather than trying to fix everything later.
As the business grows, I would love for this person’s responsibilities and hours to grow with it.
I am not looking for a CFO, financial planner or senior accountant.
I am looking for someone who loves numbers, organization and keeping things accurate and current.
Phase 1 – Personal Financial Organization The first project will be getting my personal financial records organized and creating a simple system that can be maintained going forward.
Responsibilities may include
- Organize existing personal financial information
- Help create a clear picture of current accounts, credit cards, debts and recurring obligations
- Review and categorize personal spending
- Organize statements, receipts and financial documents
- Identify recurring expenses and subscriptions
- Create an organized digital filing system for financial records
- Help establish a realistic household spending/budget tracking system
- Reconcile accounts as appropriate
- Create a simple monthly personal financial summary
- Flag missing information, unusual transactions or items requiring my attention
- Maintain the system monthly once the initial organization is complete
I want to be able to look at one simple monthly summary and understand:
What came in?
What went out?
Where did it go?
What do I owe?
What is coming up?
What requires my attention?
Phase 2 – Recent Business Bookkeeping Setup
I am building a new business, so this is an opportunity to establish clean systems from the beginning.
Responsibilities may include
- Assist with setting up QuickBooks Online or another agreed bookkeeping system
- Establish an appropriate chart of accounts
- Keep business and personal finances clearly separated
- Set up expense categories
- Organize business receipts and documentation
- Categorize transactions
- Reconcile bank and credit-card accounts
- Track business income and expenses
- Track accounts receivable/payable as the business grows
- Maintain clean monthly books
- Maintain appropriate records for HST/GST and tax preparation
- Prepare basic monthly financial reports
- Maintain organized supporting documentation for the accountant
- Flag missing transactions, receipts or information
- Help make sure the books remain current rather than becoming a year-end cleanup project
Monthly Reporting
Once everything is established, I want a very simple monthly reporting rhythm.
Each month I would like a concise summary showing:
- Income
- Expenses
- Profit/loss for the business
- Cash position
- Major spending categories
- Personal spending overview
- Current debt/obligations where applicable
- Upcoming payments or financial items requiring attention
- Anything unusual or important that I should know
- A short list of questions or decisions needed from me
The goal is clarity, not complicated financial reports.
Who I’m Looking For
This could be an excellent opportunity for someone early in their bookkeeping career who wants to build experience and develop a long-term client relationship.
Ideally you have
- Approximately 1–3 years of bookkeeping/accounting experience, education or equivalent practical experience
- Experience with QuickBooks Online
- Understanding of bank and credit-card reconciliation
- Strong attention to detail
- Good Excel/Google Sheets skills
- Basic understanding of Canadian bookkeeping requirements
- Familiarity with GST/HST is an asset
- Excellent organization
- Strong follow-through
- Comfort asking questions when something doesn’t make sense
- Ability to maintain strict confidentiality with personal and business financial information
- Ability to work independently once systems are established
You do not need to be a CPA.
Students or recent graduates in bookkeeping, accounting or business may also be considered if they have the appropriate skills and maturity.

I don’t expect perfection.
I do expect someone who notices when something doesn’t balance, asks rather than guesses, and follows through until an issue is resolved.
Hours & Growth
This role will begin very small at approximately 3–5 hours per month.
There may be some additional hours initially while we organize the personal finances and establish the current business bookkeeping system.
Once everything is organized, the ongoing workload should initially be relatively light.
As the business grows, the role can grow with it.
Over time, there may be opportunities for additional hours and responsibility involving:
- Increased monthly bookkeeping
- Invoicing and payment tracking
- Accounts receivable/payable
- Contractor payment administration
- Payroll support
- Expense management
- Financial reporting
- Preparing information for the accountant
- Maintaining financial systems and processes
I would love to find someone now who can become a trusted long-term part of the business rather than continually changing bookkeepers as we grow.
Important Boundaries
This role does not initially require financial planning, investment advice, tax strategy or CFO-level analysis.
The primary responsibility is
Organize it.
Record it accurately.
Reconcile it.
Keep it current.
Make the numbers visible.
Tell me when something needs my attention.
Tax filings and higher-level accounting matters can be reviewed or handled by the appropriate accountant when required.
