Job Summary
We are seeking a dynamic and highly organized Medical Office Administrator. In this vital role, you will oversee administrative functions, coordinate patient services, manage medical records, and support clinical staff to ensure seamless patient care. Key Responsibilities
Patient Support & Front Desk Operations
- Greet and check in patients in a friendly, professional manner.
- Schedule, confirm, and manage appointments using clinics electronic medical records (EMR) software.
- Answer phone calls, respond to inquiries, and provide general information to patients.
- Process patient registration and update demographic information.
- Handle patient check‑out, collect payments, and issue receipts.
Administrative & Office Management
- Maintain and update the Electronic Medical Records (EMR) system with accuracy and confidentiality.
- Prepare, process, and electronically file documents such as referrals, requisitions, and medical reports within (EMR).
- Coordinate communication between patients, physicians, and external healthcare providers.
- Monitor and order office supplies and clinic materials.
- Pick up physical mail from mailbox.
- Maintain a clean, organized, and professional front office environment.
- Assist Business Manager will additional duties and responsibilities as required.
Compliance & Confidentiality
- Uphold patient privacy standards in accordance with applicable regulations (e.g., HIPAA/PHIPA).
- Follow clinic policies, procedures, and safety guidelines.
- Support quality assurance initiatives and contribute to workflow improvements.
Requirements
- Completion of a Medical Office Administration certificate or diploma program (or equivalent experience).
- Proficiency with electronic medical records (EMR) systems and general office software.
- Strong communication and customer‑service skills.
- Excellent organizational abilities and attention to detail.
Preferred
- Previous experience in a medical or healthcare office setting.
- Knowledge of medical terminology and healthcare billing processes.
- Experience with appointment scheduling and patient flow management.
