Operations Planning Specialist
Position Summary The Operations Planning Specialist is responsible for supporting and executing BYD Canada’s passenger vehicle order and supply planning activities, including China order execution, dealer order management, VIN allocation, inventory planning, demand and supply analysis, and CRM data management.
This role serves as a key operational link between dealer demand and vehicle supply. The position will manage China Orders in CRM, review dealer orders and available vehicle inventory, execute VIN allocation, monitor inventory and inbound supply, and develop rolling China order recommendations based on dealer demand, retail sales trends, inventory position, inbound vehicles, and target inventory coverage.
The role combines hands-on operational execution with planning and analytical responsibilities and works closely with Sales, Logistics, Finance, Aftersales, BYD headquarters, and other cross-functional teams to ensure vehicle supply is aligned with market demand and business growth.
Key Responsibilities
China Order Planning & CRM Execution
- Prepare rolling China Order recommendations by model and configuration based on dealer orders, retail sales trends, current inventory, inbound supply, inventory aging, and target inventory coverage.
- Execute, maintain, and update China Orders in CRM following approved supply plans and management direction.
- Maintain accurate order details in CRM, including model, configuration code, trim/version, exterior and interior color, model year, quantity, and relevant order status.
- Track China Orders through key supply stages and coordinate with BYD headquarters and internal teams regarding order changes, supply availability, production, and shipment status.
- Identify potential supply gaps, excess orders, configuration imbalances, or timing risks and provide recommended adjustments.
Dealer Order Management & VIN Allocation
- Review and manage dealer orders in CRM and monitor order backlog, fulfillment status, and allocation requirements.
- Match dealer orders with available and inbound vehicle inventory using applicable model, SAP number/configuration code, and other required vehicle attributes.
- Execute VIN allocation in CRM in accordance with approved allocation rules, inventory availability, vehicle aging priorities, and business requirements.
- Monitor unallocated dealer orders and identify the root causes of allocation gaps, including model/configuration shortages, inventory location, timing, or supply constraints.
- Use unfulfilled dealer demand and allocation gaps as key inputs to future China Order planning and supply recommendations.
- Coordinate with Sales and Operations teams to resolve order exceptions, allocation changes, and priority requirements.
Inventory & Supply Planning
- Monitor vehicle inventory across available, allocated, demo, inbound, ocean, and other relevant supply statuses.
- Analyze inventory coverage, aging, model and configuration mix, fast- and slow-moving inventory, and future inventory position.
- Combine current inventory, inbound supply, China Orders, dealer orders, retail sales trends, and business forecasts to assess future supply requirements.
- Develop recommended China Order forecasts and order mix to support target inventory levels and market demand.
- Identify supply shortages, excess inventory, aging risks, and configuration imbalances and recommend corrective actions.
- Support monthly and rolling supply-and-demand planning reviews with clear assumptions, risks, and recommended actions.
Operations Data, CRM & Reporting
- Maintain accurate and timely CRM data for China Orders, dealer orders, VIN allocation, inventory, and relevant vehicle supply status.
- Perform regular data validation and reconciliation to identify missing, inconsistent, or inaccurate operational records.
- Prepare daily, weekly, and monthly operational reports covering order status, allocation, inventory, supply pipeline, backlog, and key exceptions.
- Develop and maintain planning reports, dashboards, and management summaries to support operational decision-making.
- Support improvement and standardization of CRM workflows, data definitions, reporting logic, and operational planning processes.
Cross-Functional Planning & Operational Support
- Work closely with Sales to translate dealer demand, retail trends, and sales forecasts into vehicle supply requirements.
- Coordinate with Logistics regarding inbound vehicle timing, port/yard inventory, transportation status, and vehicle availability for allocation and delivery.
- Collaborate with Finance, Aftersales, Network Development, and other functions on operational planning and business requirements.
- Coordinate with BYD headquarters and regional teams regarding China Orders,
supply status, vehicle configurations, and planning requirements.
- Support new product launches, dealer network expansion, and other operational projects through planning, tracking, and cross-functional coordination.
- Track key operational actions, risks, and exceptions and escalate material issues to management with recommended solutions.
Qualifications & Experience
Education & Professional Experience
- Bachelor’s degree in Business Administration, Supply Chain Management, Operations Management, Automotive Management, Data Analytics, or a related field.
- Over 1 year of experience in operations planning, sales operations, supply planning, order management, inventory planning, automotive distribution, or a related function.
- Experience in the automotive industry, particularly with an OEM, distributor, dealer network, or vehicle operations setting, is strongly preferred.
- Hands-on experience with order management, inventory allocation, demand/supply planning, or vehicle distribution is highly desirable.
Skills & Competencies
- Strong understanding of order-to-delivery processes, inventory planning, demand and supply planning, and operational execution.
- Strong analytical skills with the ability to translate dealer demand, inventory, sales trends, and inbound supply into practical order recommendations.
- Advanced proficiency in Microsoft Excel; experience with CRM, ERP, order management, or inventory management systems is required.
- High attention to detail and strong data accuracy, organization, and process-control capabilities.
- Ability and willingness to perform hands-on CRM execution, including order creation, order maintenance, VIN allocation, and operational data updates.
- Strong communication, coordination, and stakeholder management skills.
- Ability to manage multiple priorities and respond quickly to operational changes in a fast-paced, growing business environment.
- Strong problem-solving mindset with the ability to identify exceptions, determine root causes, and recommend practical actions.
Additional Requirements
- Fluency in English is required; Mandarin Chinese is considered a strong asset due to frequent coordination with BYD headquarters.
- Knowledge of the Canadian automotive market and dealer distribution model is preferred.
- Valid driver’s license required.
