This is a part time position with a term length of 3 years.

Location - This role is in-person at North Campus Edmonton.

Reporting to the Manager, Arts Collaboration Enterprise (ACE), and collaborating with Directors of Arts Centres and Institutes, including the Centre for Literatures in Canada, the Program Coordinator will lead day-to-day office operations supporting multiple Centres and Institutes. This position will provide a range of project coordination, community engagement, office administration, research communication, record-keeping, financial management, and research and events support. In all facets of this role, this position endeavours to integrate and advance the University's commitments to equity, diversity and inclusivity.

Responsibilities

Strategic Planning

- Aids the Directors in developing and implementing the Centre’s or Institute’s research communication and public relations plan, using a full range of social media.
- Initiates discussion or review of issues that impact the administration of the Centre or Institute in consultation with the Manager, ACE, and Directors, and implements necessary changes.
- Promotes the Centre’s and Institute’s academic mission and interests through participation on committees and working groups.
- Liaises with academic and community organizations regarding events and community sponsorship of programs.

Financial Management
- Assists the Directors in the preparation of budgets and business plans for presentation to the Administrative Board.




- Prepares and allocates the operating and endowment budgets according to University policies.
- With the Finance Partner, develops and maintains financial status reports and financial forecasts.
- Monitors and reports on the status of endowment accounts, tracking the spending allocation.

Event Planning
- In consultation with the Director and boards, prepares an annual plan for projects and events.
- Assists in the preparation of grant applications and other funding requests related to events.
- Manages all events, including coordination of staff and volunteers.

Administration
- Manages the day-to-day operations and acts as a primary point of contact for the Centre or Institute.
- Creates, organizes and manages all records in accordance with applicable University policies.
- Supports the Manager of Arts Collaboration Enterprise on projects as needed, such as strategic reviews, annual reporting, recruitment, and director searches.

Qualifications

- Completed Bachelor’s degree, preferably in an arts-related discipline.
- 3 years of progressive experience in a post-secondary setting; knowledge of University of Alberta policies and procedures is an asset.
- Outreach, research communications, and event planning experience.
- Excellent communication and interpersonal skills.
- Proficiency in written and spoken French an asset.
- High proficiency in Microsoft and Google suites; experience with PeopleSoft an asset.
