Role Overview
As the first point of contact the Reception/Office Services plays a vital role in shaping the experience of everyone that comes through the door. Reporting to the WCD Team Lead, this position is responsible for creating a welcoming, professional, and seamless front-of-house experience for employees, clients, and visitors.
Your attention to detail, proactive mindset, and passion for delivering exceptional service will help ensure our office runs smoothly and reflects the high standards of WCD.

Responsibilities
As the first point of contact for employees, guests, and external partners, this role is responsible for providing a professional, welcoming, and responsive front-of-house experience. The position supports the smooth day-to-day operation of the facility by coordinating reception and administrative activities, assisting with facility needs, and helping maintain a safe, organized, and well-maintained workplace. The role also provides general administrative and customer service support to internal teams, responds to inquiries and requests, and assists with a variety of operational tasks as required.
Strong communication, organization, responsiveness, and attention to detail are essential to effectively manage competing priorities and ensure a positive experience for employees, visitors, and business partners. The successful candidate will be responsible for the following duties, including but not limited to:
Answering and directing telephone inquiries
Greeting clients, visitors, and other industry personnel
Following security protocols and practices when admitting external visitors and in emergency situations
Managing the conference meeting room calendars
Maintaining the reception area, ensuring refreshments are stocked, the waiting area is tidy and organized
Managing Taxi Chit ordering and complete invoice reconciliations
Assistance with catering deliveries and set-up
Coordinate the combined meeting room bookings, which include ensuring set up and take-down appointments are set and modified if required
Setting up workspaces for recent hires
Assisting with internal moves
Ensure drink fridges on high-traffic floors are fully stocked
Management of general access cards available for signing out at reception
Conduct regular data audits
Manage incoming office supplies and request new hire supply packages
Cross-training on other team members' duties as required
Participate and support an equitable, diverse, and inclusive workplace

Education High school diploma or GED is a requirement Skills and Experience A solid understanding of computers and office equipment is a requirement
Strong ability to remain organized and manage multiple projects and duties and conflicting timelines
Skills to be detail-oriented is a requirement
Ability to be resourceful and proactive when issues arise
Strong fluency in English written and verbal skills is a requirement
