Job Overview A Beautiful Mind Psychology and Psychotherapy Clinic, Inc. is seeking a highly organized, professional, and adaptable Receptionist/Psychologist Assistant to support the day-to-day operations of our clinic.
This position goes beyond traditional reception duties. We are looking for someone with strong business, administrative, and computer skills who is comfortable managing multiple responsibilities and ensuring that important details, deadlines, and administrative tasks are consistently followed through to completion.
The ideal candidate is proactive, dependable, technologically confident, and exceptionally organized. You should be someone who can quickly learn new systems, identify more efficient ways of completing administrative tasks, and comfortably work with a variety of computer programs and business platforms—not only Microsoft 365.
The successful candidate will also provide administrative support to the psychologist and other members of the clinic as required.
Key Responsibilities
- Manage day-to-day administrative and business operations of the clinic.
- Prepare, process, track, and follow up on invoices and payments accurately and on time.
- Maintain organized financial and administrative records.
- Monitor important dates, deadlines, appointments, outstanding items, and required follow-ups.
- Maintain effective systems for tracking tasks and ensuring nothing is overlooked.
- Assist with business-related documentation, correspondence, forms, spreadsheets, and records.
- Support the psychologist with administrative and business-related tasks as required.
- Assist with appointments as needed
- Prioritize competing responsibilities and adjust quickly when urgent matters arise.
- Identify opportunities to improve administrative processes, organization, and efficiency.
- Handle confidential and sensitive information with a high level of discretion.
Technology & Computer Systems
- Work confidently with Microsoft 365, including Outlook,
Word, Excel, and related applications.
- Learn and effectively use a variety of clinic, business, invoicing, scheduling, document-management, and other computer programs.
- Demonstrate strong general computer literacy and the ability to troubleshoot routine technology issues.
- Adapt quickly to new software, systems, and digital processes.
- Use technology to improve organization, workflow, task management, and overall business efficiency.
- Maintain accurate electronic records and organized digital filing systems.
Reception & Client Service
- Provide professional, welcoming, and respectful reception services to clients and visitors.
- Answer and appropriately direct telephone calls and inquiries.
- Manage appointment scheduling, cancellations, rescheduling, and related communications.
- Monitor email and other clinic communications and ensure messages are addressed or directed appropriately.
- Maintain an organized reception and administrative environment.
- Communicate professionally and compassionately with clients while maintaining appropriate boundaries and confidentiality.
- Coordinate information between clients, the psychologist, and other clinic staff as appropriate.
- Assist with general office and reception duties as needed.
Qualifications & Skills The successful candidate should demonstrate:
- Strong business and administrative skills, with the ability to understand and support the operational needs of a professional practice.
- Strong invoicing and financial administrative skills, including accuracy when processing and tracking payments, invoices, and related records.
- Excellent computer skills and confidence using a wide range of software and online platforms.
- Strong proficiency with Microsoft 365, while also being comfortable learning and working with programs outside of the Microsoft environment.
- Exceptional organizational and task-management abilities.
- Excellent attention to detail, particularly with dates, deadlines, appointments, documentation, and follow-up requirements.
- The ability to manage multiple responsibilities simultaneously without losing track of key details.
- Strong problem-solving skills and the ability to work independently.
- A proactive approach to work rather than waiting to be reminded of routine responsibilities.
- Excellent written and verbal communication skills.
- Professional and courteous telephone, email, and in-person communication.
- Strong adaptability and the ability to learn new procedures and systems quickly.
- Reliability, punctuality, discretion, and sound professional judgment.
- The ability to appropriately handle confidential and sensitive information.
- A degree or diploma in Business Administration, Human Resources, Office Administration, or a related field is ideal.
- Previous reception, administrative, office management, invoicing, bookkeeping, business administration, or professional-office experience is an asset.
- Experience working in a healthcare, psychology, psychotherapy, or other professional practice environment is an asset but is not required.
Compensation
Compensation will be discussed with candidates who are selected to proceed in the hiring process.
