CIBC Capital Markets provides corporate, government, and institutional clients with innovative solutions to help them raise capital, and grow and invest actively throughout North America, Latin America, and key financial centres around the world. We are seeking a highly motivated Executive Assistant to support our Capital Markets teams. Collaboration and ingenuity are at the core of everything we do. The expected annualized base salary range for this role is $75,000 to $85,000. The base salary is determined by a variety of factors, including the candidate’s skills, experience, and job‑related knowledge, as well as geographic location and specific business needs. Our compensation philosophy supports ongoing growth and development, enabling progression within the salary range as team members advance in their roles. In addition to base pay, compensation for this role includes participation in an annual discretionary incentive or bonus program. How You’ll Succeed
Executive Support & Calendar Management – leverage sound judgment, discretion, and diplomacy to organize and coordinate the activities of our Executives, ensuring their days run seamlessly. Proactively anticipate needs, provide timely updates with relevant background information, and take initiative to maximize productivity for both the Executives and the broader team. Manage multiple complex calendars, screen requests, prioritize meetings, and oversee all related logistics – including room bookings, site access, technology coordination, and catering.
Travel & Expense Administration – take ownership of arranging and managing all travel requirements, from booking airline tickets and hotels to coordinating ground transportation, while staying attentive to last‑minute changes and ensuring every detail aligns with company policy. Process expense reports and invoices with accuracy and efficiency, ensuring timely submissions and strict adherence to guidelines. Provide guidance to the team on expense policies whenever needed, helping everyone stay informed and compliant.
Trusted Administrative Support – exercise the highest level of discretion as you handle confidential correspondence and sensitive information, ensuring trust and integrity are always maintained. Make informed decisions within established parameters, knowing when to elevate issues as appropriate. Perform essential administrative tasks such as managing mail distribution, arranging couriers, tracking vacation schedules, preparing client invoices, maintaining beverage and office supplies, maintaining deal and staffing logs, preparing reports, monitoring deal audit items, and keeping general administrative files up to date.
Onboarding & Offboarding Coordination – oversee the onboarding and offboarding processes for new and departing team members, ensuring a smooth and welcoming transition at every stage. Coordinate technology access, office setup, building access, and the ordering of business essentials so everyone has what they need from day one. Ensure all compliance requirements and internal policies are met, and provide guidance and support to both new hires and departing staff.
Relationship Management & Collaboration – build and maintain strong professional relationships with clients, internal teams, and external partners, positioning yourself as a key point of contact and trusted resource. Collaborate closely with other Executive Assistants to identify and promote best practices, provide backup coverage, and foster a positive, team‑oriented work environment. Liaise with cross‑functional business units and support departments such as HR to coordinate tasks and implement process improvements.
Who You Are
At least 5 years of experience in an administrative or professional support role within a large corporate or financial institution. Post‑secondary education in a related field is preferred.
Thrive on independent judgment and discretion; confident and diplomatic in managing the activities of a dynamic department.
Proactive and naturally inquisitive; anticipate needs, think critically, and consistently seek opportunities for improvement.
Excel in navigating ambiguity and limited direction,
making sound decisions within your scope of accountability in a fast‑paced environment.
Metriculous and exceptionally organized with keen attention to detail and strong time‑management skills to juggle multiple tasks and conflicting priorities with ease.
Bring advanced technical expertise: proficiency in MS Office (Excel, Word, PowerPoint, Outlook) and web browsers, plus experience with tools like Visio, Workday, Amex GBT, and COUPA.
Standout communicator with polished written and verbal communication skills, ensuring clarity and impact in every interaction.
Handle confidential information with utmost integrity, ensuring sensitive materials are always managed appropriately and securely.
