We are seeking a highly organized and detail-oriented Safety & Compliance Coordinator to join our team in Mississauga, Ontario. This position will play an important role in maintaining driver and fleet compliance, monitoring safety performance, supporting regulatory requirements, and ensuring that company policies and procedures are consistently followed across our Canadian and U.S. operations.

The successful candidate will work closely with the Safety Manager, Operations, Dispatch, Maintenance, Drivers, and Management to maintain a robust safety culture and ensure compliance with applicable transportation regulations.

Job Summary The Safety & Compliance Coordinator will be responsible for supporting the day-to-day administration of JBS EXPEDITE's transportation safety and compliance programs.

This position will oversee driver qualification and compliance records, monitor Hours of Service and ELD activity, assist with incident and accident management, coordinate driver training, maintain fleet compliance documentation, and support internal and regulatory audits.

The ideal candidate is highly organized, comfortable working with transportation compliance systems, has strong knowledge of Canadian and U.S. transportation regulations, and is capable of identifying compliance issues before they become operational or regulatory problems.

Key ResponsibilitiesDriver Onboarding & Qualification

- Coordinate the complete safety and compliance onboarding process for new drivers and owner operators.
- Review driver documentation to ensure all required qualifications are complete before the driver is approved to operate.
- Maintain accurate and up-to-date Driver Qualification Files (DQFs).
- Verify driver's licences, abstracts, medical certificates, training records, certificates, and other required documentation.
- Monitor licence and document expiry dates and ensure renewals are completed before expiration.
- Maintain driver records within the company's safety/compliance platform.
- Conduct regular reviews of driver files to identify missing, expired, or incomplete documentation.
- Ensure drivers receive and acknowledge company safety policies and procedures.
- Coordinate required orientation, training, and safety documentation for new drivers.

Safety & Regulatory Compliance
- Monitor compliance with applicable Ontario, Canadian, and U.S. transportation regulations.
- Assist the Safety Manager in maintaining compliance with MTO, DOT/FMCSA, CVOR, and other applicable regulatory requirements.
- Maintain organized records for regulatory inspections and audits.
- Identify potential compliance issues and escalate them to the Safety Manager.
- Assist with implementing corrective actions when compliance deficiencies are identified.
- Stay informed of changes to transportation regulations that may affect company operations.
- Ensure company policies and procedures remain aligned with applicable regulatory requirements.

Hours of Service & ELD Compliance
- Monitor driver Hours of Service compliance for Canadian and U.S. operations.
- Review ELD logs for violations, missing logs, unidentified driving, incorrect duty status, and other discrepancies.
- Utilize Motive to monitor ELD activity and generate compliance reports.
- Follow up with drivers regarding log errors, violations, and missing information.
- Assist with daily, weekly, and periodic HOS audits.
- Identify recurring HOS issues and communicate them to management and operations.
- Maintain documentation related to HOS violations and corrective actions.




- Assist with ELD troubleshooting and driver support when issues arise.
- Ensure drivers understand proper ELD procedures and requirements.

Driver Training & Safety Programs
- Assist the Safety Manager with the development, implementation, and administration of company safety programs.
- Coordinate driver safety orientations and training.
- Maintain records of completed training and certifications.
- Assist with identifying additional training requirements based on driver performance, incidents, violations, or regulatory changes.
- Communicate company safety policies and procedures to drivers and employees.
- Promote a proactive safety culture throughout the organization.
- Assist with driver coaching and corrective action processes when required.

Accident & Incident Management
- Assist with the reporting and documentation of accidents, collisions, injuries, cargo incidents, and other safety-related events.
- Collect required information, photographs, statements, reports, and supporting documentation.
- Maintain organized accident and incident files.
- Assist the Safety Manager with accident investigations and follow-up.
- Track corrective actions and ensure required documentation is completed.
- Communicate with drivers, management, insurance providers, repair facilities, and other parties as required.
- Maintain accurate accident and incident statistics for internal reporting.
- Identify recurring trends and bring potential safety concerns to management's attention.

Fleet & Maintenance Compliance
- Work closely with the Safety Manager and Maintenance Department to ensure fleet compliance requirements are maintained.
- Monitor inspection, maintenance, and safety-related documentation.
- Ensure required vehicle inspection records are properly maintained.
- Track annual inspections, safety inspections, and other applicable vehicle compliance requirements.
- Monitor deficiencies identified through inspections and ensure corrective actions are documented.
- Assist with maintaining organized records for tractors, trailers, and other company equipment.
- Ensure vehicle documentation is current and readily available for audits and inspections.

CVOR, IRP & IFTA Support
- Assist with maintaining documentation related to CVOR compliance.
- Support the administration and maintenance of IRP documentation and records.
- Assist with IFTA reporting and supporting documentation when required.
- Maintain accurate vehicle and fleet records.
- Assist with regulatory filings and renewals as assigned.
- Work with management and accounting to ensure required documentation is available and accurate.

Compliance Audits & Reporting
- Conduct regular internal audits of driver and fleet compliance files.
- Identify missing documentation, expired credentials, and other compliance deficiencies.
- Prepare compliance reports for the Safety Manager and management.
- Track outstanding compliance items and follow up with responsible employees or drivers.
- Assist with preparation for MTO, DOT/FMCSA, CVOR, insurance, customer, and internal audits.
- Maintain organized electronic and physical safety records.
- Develop and maintain spreadsheets and tracking reports to monitor compliance performance.

Customer & Automotive Compliance
- Support customer-specific safety and compliance requirements.
- Maintain documentation required by major automotive customers and transportation partners.




- Assist with carrier qualification and compliance documentation when working with third-party carriers.
- Ensure required safety documents are available for customer audits and reviews.
- Assist operations in resolving safety or compliance issues that may affect customer requirements.

Technology & Systems
- Utilize Motive for ELD, HOS, driver, and fleet compliance monitoring.
- Maintain driver and equipment information in company systems.
- Utilize Microsoft Office applications, including:
- Microsoft Excel
- Microsoft Word
- Microsoft Outlook
- Develop and maintain spreadsheets, compliance trackers, reports, and databases.
- Assist with implementing recent technology and systems designed to improve safety and compliance.

Communication & Coordination
- Work closely with the Safety Manager, Dispatch, Operations, Maintenance, HR, Accounting, and Management.
- Communicate compliance requirements clearly to drivers and owner operators.
- Follow up professionally and consistently on outstanding compliance issues.
- Escalate serious or repeated violations to the Safety Manager and management.
- Maintain confidentiality when handling driver, employee, accident, and compliance information.
- Provide timely responses to internal departments and external parties regarding safety documentation.

Qualifications
- Minimum 2 years of experience in transportation safety, compliance, fleet administration, or a related field.
- Minimum 1 year of hands-on experience using Motive ELD or a similar ELD platform.
- Strong knowledge of Canadian and U.S. Hours of Service regulations.
- Experience maintaining Driver Qualification Files (DQFs).
- Knowledge of transportation safety documentation and regulatory compliance requirements.
- Experience reviewing ELD logs and identifying HOS violations.
- Strong proficiency with Microsoft Excel, Word, and Outlook.
- Excellent organizational and time-management skills.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to handle confidential information professionally.
- Ability to work independently while also working effectively as part of a team.
- Ability to manage multiple priorities in a fast-paced transportation environment.
- Strong problem-solving and follow-up skills.

Preferred Qualifications
- Experience with CVOR compliance.
- Familiarity with IRP and IFTA.
- Knowledge of MTO regulations.
- Knowledge of DOT/FMCSA regulations.
- Experience with transportation safety audits.
- Experience with accident and incident investigations.
- Experience working with commercial truck and trailer fleets.
- Experience in cross-border Canada–U.S. transportation.
- Experience in the automotive transportation or logistics industry.
- Experience with driver training and safety programs.
- Previous experience working with Samsara or other transportation technology platforms.
