This role is eligible for a discretionary variable compensation award that considers business and individual performance. Job Description Work Arrangement This position is based in Vancouver, British Columbia and will support lawyers and legal teams handling Alberta-based litigation matters, including files originating from Calgary and Edmonton. As TD Insurance establishes its new Vancouver office location, colleagues hired into these roles will initially work primarily remotely. Once permanent office space has been secured and operational, colleagues will transition to TD's hybrid work model, which currently includes a minimum of three days per week in the office.

Successful candidates will work closely with experienced legal professionals while supporting litigation matters for Alberta-based operations and helping shape our growing presence in Western Canada. The successful candidate will provide legal secretarial support to one or more lawyers within TD Insurance's Alberta Staff Legal operations. While based in Vancouver, the role will support lawyers and legal teams handling Alberta matters and maintain a close and highly responsive relationship to the day-to-day activities of the lawyer(s).
Main Responsibilities Prepare complex legal documents through transcription of written or recorded materials, including correspondence, pleadings, motions, applications, affidavits, and other legal documentation.
Draft standard legal documents, correspondence, and pleadings for lawyer review.
Edit grammar, spelling, and punctuation as required.
Exercise initiative and judgment in the lawyer's absence, including negotiating extensions of time and responding appropriately to incoming communications.
Manage lawyer calendars, coordinate appointments, court appearances, mediations, discoveries, and other litigation-related events. Proactively resolve scheduling conflicts.
Respond to a variety of telephone and email inquiries based on knowledge of the file while exercising sound judgment and discretion.
Compose complex, non-technical correspondence on behalf of lawyers.
Establish, maintain, organize, and update physical and electronic legal files.
Perform research and prepare documents in accordance with matter requirements and in consultation with lawyers, law clerks, and Legal Office Management.
Support lawyers and legal teams with trial preparation, mediation preparation, and document management.
Provide guidance, training, and support to less experienced legal assistants and answer procedural and technical questions.
Exercise initiative to propose, develop, and maintain standard office precedents, processes, and procedures.
Perform additional duties as required, including: Reception relief. Maintaining witness and subpoena tracking lists. Requesting payments and fees from Claims partners. Assisting with the organization of trial and hearing materials. Coordinating witness communications regarding scheduled appearances. Other administrative and litigation support duties as assigned.
May serve as a resource and informal leader to other legal assistants by coordinating workflow and reviewing completed work.
Qualifications College diploma in Legal Administration, Legal Assistant, Legal Secretarial Studies, or a related field.
Minimum 5 years of litigation experience supporting lawyers in a legal environment.
Strong knowledge of litigation processes and legal documentation.
Proven ability to proofread, edit, and prepare legal documents with a high degree of accuracy.
Self-motivated and able to work independently in a remote and hybrid work environment.
Excellent organizational, time management, and priority-setting skills.
Strong written and verbal communication skills.
Strong interpersonal and client service skills with a professional and positive demeanor.
Demonstrated ability to manage multiple priorities and work effectively under pressure.
Strong problem-solving skills, sound judgment, and attention to detail.
Intermediate proficiency with Microsoft Office applications and legal document management systems.
