Post-Secondary Administrative Assistant
POSITION: Post-Secondary Administrative Assistant
LOCATION: Post-Secondary Student Services
SALARY: $59,916.00

Under the direct supervision of the Post-Secondary Navigators and the general direction of the Associate Director, the Post-Secondary Administrative Assistant provides administrative, financial, records management, and communication support to the Post-Secondary Program. The incumbent assists with student applications and records, financial documentation, program communications, and special events while ensuring accurate record keeping and excellent service to students and community members.

RESPONIBILITIES:

Provide front-line customer service by responding to phone, email, mail, and public inquiries.

Support Post-Secondary Navigators with administrative and office coordination activities.

Prepare correspondence, reports, forms, meeting records, and other program documents.

Receive, review, track, and maintain student applications and supporting documentation.

Maintain accurate and confidential student records, databases, spreadsheets, and filing systems.

Process financial documents, including purchase orders, invoices, requisitions,



travel claims, and payment packages.

Support student funding administration, payment tracking, and financial reporting requirements.

Manage records through scanning, archiving, document retrieval, and records retention processes.

Develop and distribute program communications, including social media updates, event promotions, and student information.

QUALIFICATIONS:

Diploma in Office Administration, Business Administration, Administrative Assistant, or related field.

An equivalent combination of education and relevant experience may be considered.

Experience providing administrative support in an office setting.

Experience with financial administration, records management, and data entry is considered an asset.

Proficiency with Microsoft Office and standard office technology.
