About the role Pro Administration Services is seeking an experienced Payroll Specialist with strong expertise in ADP Workforce Now. The successful candidate will be responsible for accurate and timely payroll processing, payroll data management, compliance, reporting, and system support.
Responsibilities and Duties: Payroll Processing & Employee Data Manage full-cycle payroll processing for multiple payroll groups and pay frequencies.
Review, validate, reconcile, and balance payroll before final processing.
Process new hires, rehires, transfers, status changes, terminations, off-cycle payrolls, manual payments, bonuses, vacation payouts, retroactive adjustments, and termination payments.
Maintain accurate employee payroll information in ADP Workforce Now, including pay rates, departments, locations, cost centers, direct deposits, tax elections, earnings, deductions, taxable benefits, pay classes, and payroll codes.
Review payroll variances and resolve discrepancies in a timely manner.
Ensure payroll data is accurate, complete, and processed in accordance with company policies and internal controls.
Review and validate employee timecards and attendance records.
Investigate and resolve payroll and timekeeping exceptions.
Process overtime, shift premiums, statutory holiday pay, vacation, and other leave-related transactions.




Work with Scheduling and Site Managers to resolve time and attendance issues affecting payroll.
Ensure compliance with applicable Canadian federal and provincial payroll legislation, employment standards, and statutory requirements.
Process ROEs, taxable benefits, statutory deductions, garnishments, pension contributions, and other payroll-related requirements.
Support payroll audits and year-end activities, including T4 preparation, reconciliation, and reporting.
Prepare and analyze payroll, labour distribution, deduction, vacation liability, payroll register, and audit reports.
Prepare and analyze union-related payroll reports and resolve discrepancies.
Perform payroll and General Ledger reconciliations, investigate variances, and support account validation and clearance.
Work with HR, Operations, and Union representatives to address payroll-related requirements and resolve discrepancies.
Monitor legislative changes and support required payroll updates.
ADP Workforce Now & Process Improvement Maintain ADP Workforce Now payroll configurations, including pay groups, labour costs, payroll calendars, earnings and deduction codes, and validation tables.
Identify and implement improvements to enhance efficiency, accuracy, data integrity, and internal controls.




Serve as a subject matter expert for payroll processes and ADP Workforce Now functionality.
Payroll Specialist Must Haves: 5–7 years of progressive payroll experience, including full-cycle payroll administration.
Extensive hands‑on experience with ADP Workforce Now.
Strong knowledge of Canadian payroll legislation, employment standards, and statutory requirements.
Advanced Microsoft Excel skills, including the ability to analyze and reconcile large datasets.
Ability to manage multiple priorities and meet strict payroll deadlines.
