Space Planning Analyst, Registrarial Services

Summary: The space planning analyst coordinates and leads the scheduling and allocation of academic and non-academic spaces across the university, including classrooms, lecture theatres, seminar rooms, specialized teaching spaces, and event venues. This position analyzes space utilization patterns, monitors demand, prepares reports, and provides recommendations to support effective space management and resource allocation. Working within the department, this role leads scheduling operations, interprets and applies space usage policies, and addresses complex scheduling issues.

The analyst supports institutional teaching and event activities by balancing competing space requirements and maintaining accurate scheduling data. This role also contributes to operational planning, procedure development, and project implementation aimed at improving scheduling processes and space utilization practices.

Duties and Responsibilities:

- Contributes to the development and implementation of operational projects and initiatives to improve the efficiency of space allocation and address identified problem areas.
- Analyzes space utilization trends, scheduling demands, and university operations to identify gaps, recommend improvements, and support evidence-based decision-making.
- Enforces space usage policies, procedures, and applicable regulatory requirements related to health, safety, and event management.
- Coordinates space assignments based on demonstrated needs, usage data, and operational requirements.
- Supports the scheduling and allocation of classroom and non-classroom spaces.
- Establishes operational business practices and procedures within the department and collaborates with campus partners to improve space management processes.
- Modifies procedures and responds to complex scheduling and space allocation matters.
- Identifies operational needs and address issues related to space utilization in collaboration with internal departments and stakeholders.
- Contributes to risk assessment and mitigation associated with requests for space use in collaboration with risk management.
- Compiles scheduling data and prepares reports on room demand,



utilization, and operational trends to support planning, analysis, and operational activities.
- Maintains and updates space allocation records and scheduling information using scheduling software.
- Communicates scheduling information, space availability, and priority requirements across the unit and related units.
- Coordinates space for campus-wide events in alignment with space management rules, regulations, and practices.
- Responds to inquiries regarding academic scheduling and space utilization.
- Supports teaching activities and non-academic events through the effective coordination of space resources.
- Identifies future operational needs of the scheduling office and contributes to planning activities.
- Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment.
- Engages in continuous learning by participating in activities, training, and events related to Indigenous engagement, reconciliation, equity, diversity, and inclusion.
- Demonstrates respect and dignity for all members of the community, actively contributes to an environment of acceptance and inclusion of others, and responds to different perspectives from a place of curiosity, respect, and non-judgement.
- Undertakes related duties, as assigned, consistent with the nature of the position.

Qualifications:

- A bachelor’s degree in a related field.
- Minimum of two years of related experience, preferably within a university or post-secondary workplace.
- Experience using scheduling and administrative systems, such as 25Live and Banner, is an asset.
- Knowledge of data management and data integrity principles.
- Effective communication skills.
- Ability to interpret policies,



procedures, regulations, and operational requirements.
- Strong organizational skills with high attention to detail.
- Ability to work effectively both independently and collaboratively in a team.
- Strong analytical, problem-solving, and critical thinking abilities.
- Proficient computer skills, including Microsoft Office applications.

Status: Term 12 months with the possibility of extension or becoming permanent

Full Time Equivalent (FTE): 1.0

Salary: The salary range, based on 1.0 FTE, is $53,091.00 - 82,954.00 per annum. The starting salary will be commensurate with education and experience.
