We are looking for an Administrative Assistant to support the Finance Team by providing a range of administrative and financial support services to ensure efficient day‑to‑day operations. Reporting to the Senior Director of Finance, this role involves managing communications, organizing meetings, taking minutes, maintaining financial records, performing data entry, and supporting other financial activities. The ideal candidate is detail‑oriented, highly organized, and comfortable working in a fast‑paced, team-oriented environment. Duties and Responsibilities Manage calendars, schedule meetings, and coordinate logistics for the Finance Team. Attend meetings with the Senior Finance Leadership team; prepare meeting minutesand produce clear, concise summary reports and follow‑up action items. Answer and route phone calls, respond to general inquiries, and manage incoming/outgoing correspondence.



Act as a back‑up for office reception coverage, including working alone in the office. Maintain an organized electronic and physical filing system for financial and administrative documents. Prepare, format, and proofread correspondence, reports, and other documents. Coordinate office supplies and support procurement of finance‑related materials. Assist with data entry of financial transactions into accounting software and Excel spreadsheets. Reconcile monthly credit card statements, petty cash, and assist with other account reconciliations. Track and follow up on outstanding invoices, receipts, and other financial documentation. Support preparing financial reports, audit packages, and funding submissions. Serve as the first point of contact for internal and external inquiries directed to the Finance Team. Support Finance Team initiatives and participate in team meetings and planning activities. Assist in preparing presentation materials and reports for meetings and board reviews. Travel with materials to off‑site meetings, school‑based programs, and support TFSS events as required. Other relevant administrative tasks as assigned. Education, Skills and Requirements Post‑secondary education in Business Administration, Accounting, or a related field. Minimum 3 years of experience providing administrative and operational support to senior leadership, preferably within a finance or accounting environment.



An equivalent combination of education and experience may be considered. Discretion and professionalism in handling confidential information. Experience using accounting software is an asset. Strong organizational and time management skills with the ability to prioritize tasks. High attention to detail and accuracy in data entry and document management. Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Valid driver’s license and access to a vehicle is an asset but not required. Location, Hours and Compensation This role is currently based at 30 St. Patrick Street, Toronto Eligible to participate in the hybrid/remote work program (with the requirement to work in the office 2‑3 days per week) Monday to Friday, 35 hours per week The salary range is $60,000 to $65,000 annually, plus benefits and three weeks’ vacation.
