Description The Student Success Systems Team in the Office of the Registrar is currently seeking (2) Full time Limited Term Student Success Functional Analysts for approximately 2 years.
Reporting to the Manager, Student Success Systems, the Student Success Functional Analyst is responsible for the configuration, maintenance, testing, implementation, and operational support of the University's Student Success technology solutions. Working closely with the Student Success Systems Analyst, Student Success Systems Manager, institutional stakeholders, Information Technologies, reporting teams, and vendors, this position participates in the implementation and ongoing support of Student Success solutions that support communications, advising, case management, student engagement, recruitment, admissions, awards administration, retention initiatives, and student success activities.
The Functional Analyst will apply technical knowledge of supported systems to configure solutions, create and maintain workflows, support integrations, perform testing, troubleshoot operational issues, assist users, and ensure that system functionality continues to support business requirements.
The Functional
Analyst is expected to develop expertise in supported products and technologies and act as a resource for business users regarding system functionality, configuration options, workflows, and operational processes.
This role supports the long-term sustainability, consistency, and quality of the Student Success technology ecosystem through effective analysis, configuration, support, and maintenance activities.
Summary of Key Responsibilities (job functions include but are not limited to):
In addition to duties assigned directly by the manager, the Student Success Functional Analyst is responsible for the following tasks and duties:
Configuration, Maintenance and Operational Support
- Configure and maintain system functionality including workflows, forms, portals, communications, security, user accounts, and business processes.
- Perform system administration and data maintenance activities.
- Support implementation of approved solution designs and configuration standards.
- Monitor system performance and identify configuration issues.
- Troubleshoot functional and operational issues.
- Support release and upgrade activities.
Business Analysis and Process Support
- Participate in stakeholder consultations and requirements gathering activities.
- Document business requirements and business processes.
- Create workflow diagrams, process documentation, and supporting materials.
- Assist with process analysis and solution assessments.
- Identify opportunities for process improvement and system optimization.
- Evaluate impacts of proposed changes on existing business processes and configurations.
Testing and Quality Assurance
- Develop and execute test scenarios and test scripts.
- Conduct system integration testing and functional testing.
- Participate in user acceptance testing activities.
- Validate implemented solutions against requirements and approved designs.
- Document and track testing results and defects.
Training and User Support
- Provide support to users and stakeholders.
- Develop work aids and training materials.
- Deliver training sessions and knowledge transfer activities.
- Assist users with adoption of new functionality and processes.
Continuous Improvement and Product Support
- Participate in evaluation of new product functionality and releases.
- Recommend enhancements and improvements to existing processes and configurations.
- Support implementation of approved enhancements.
- Maintain awareness of emerging capabilities and best practices related to student success technologies.
Reporting and Data Support
- Develop and maintain operational queries and reports.
- Support data validation and quality assurance activities.
- Assist with reporting and analytics initiatives.
- Ensure consistency of data standards and structures.
Qualifications / Requirements
Education
- Undergraduate degree in Computer Science, Information Systems, Business Technology Management, Business, or related discipline.
- Equivalent combination of education and directly related experience may be considered.
- Business Analysis certification or coursework is considered an asset.
- Technical certifications related to CRM, SaaS platforms, reporting, or systems administration are considered assets.
Experience
- Minimum 3 years of experience working with enterprise software applications, CRM systems (Slate), ERP systems, SaaS platforms, or student systems.
- Experience supporting system implementation, testing, and configuration.
- Experience maintaining system configurations, workflows, reporting, or business processes.
- Minimum 3 years of experience supporting student-facing administrative functions such as admissions, awards, advising, recruitment, student services, academic administration, or retention initiatives in a post-secondary environment.
- Experience working with multiple stakeholders and competing priorities.
Technical Knowledge
- Experience conducting system testing and quality assurance activities.
- Demonstrated ability to implement and configure system designs including workflows, administrative configuration and large-scale data quality assurance.
- Understanding of business analysis principles and practices.
- Understanding of business process mapping and workflow analysis.
- Experience creating and maintaining system documentation.
- Understanding of system integrations, interfaces, and upstream/downstream dependencies.
- Knowledge of Slate, PeopleSoft, or other institutional technology solutions.
- Working knowledge of SQL, Microsoft Excel, and related analytical tools is considered an asset.
- Basic programming or scripting knowledge in one or more technologies such as SQL and JavaScript.
