The Role
We're seeking a highly organized Executive Assistant & Office Manager to provide full time dedicated support to our CEO while overseeing the day-to-day operations of our office. This is a dual-function role: a significant portion of your time will be spent in direct support of our CEO — managing schedules, communications, and priorities at an executive level — while the remainder is dedicated to ensuring our office runs efficiently and our workplace culture continues to thrive.
We're looking for someone with genuine energy and initiative — a self-starter who takes ownership, contributes thoughtful ideas, and plays an active role in shaping our culture as the company grows.
Executive Support for our CEO
• Manage the CEO's calendar, appointments, and day-to-day scheduling
• Draft, organize, and respond to emails and correspondence
• Handle a wide range of general administrative tasks as they arise
• Book travel — flights, hotels, and itineraries — for business and personal trips
• General document gathering
• Support light personal property management for the CEO's residential properties — e.g., gathering property tax documentation, coordinating trades such as landscaping and pool cleaning
• Assist with ad hoc personal errands and projects as needed
Office Management
• Run the day-to-day operations of our office space: ordering supplies, snacks, and food; keeping shared spaces clean and stocked (including emptying the dishwasher and general daily tidiness)
• Serve as the main point of contact with our building/property manager — coordinating cleaning schedules, maintenance requests, and any building-related needs
• Liaise with our IT provider on equipment, troubleshooting, and setup needs
• Act as the go-to contact for staff on office-related questions and requests
• Handle basic invoicing, billing, and expense coordination
• Greet guests and visitors, and help set the tone for a welcoming, energetic office environment
• Plan and organize team events, celebrations, and culture-building initiatives (birthdays, holidays, team lunches, offsites)
• Some light work for other senior leadership employees if the need arises
• Help organizes social media announcements and some light social media management
• Manage office vendor relationships (cleaning, courier, catering, supplies) and help identify opportunities to improve how the office runs
• Ability to prepare and manage Expense Reports accurately, with attention to detail and basic accounting or budgeting skills.
• Support onboarding logistics for new hires (workstation setup, supplies, welcome touches)
• Maintain office organization systems — filing, supply inventory, shared calendars, and internal communications
What We're Looking For
• 5+ years of experience in an administrative assistant,
executive assistant, and/or office manager role — real estate industry experience is a plus
• Excellent written and verbal communication skills, with the ability to convey information clearly and concisely
• Strong organizational skills — detail-oriented, methodical, and able to juggle competing priorities
• Self-motivated, with a strong sense of professionalism and follow-through
• Comfortable working independently and as part of a small team
• Genuine enthusiasm for building a fun, positive office culture
