We are seeking a professional, organized, and personable Part-Time Office Receptionist to support the daily operations of a fast-paced Toronto office within the financial services industry.

This individual will serve as the first point of contact for clients, visitors, vendors, and employees while providing reception, hospitality, administrative, and facilities support. The ideal candidate is highly organized, customer-service focused, and comfortable managing multiple priorities in a professional corporate environment.

**Role will be starting off Full-Time hours then moving to Part-Time

Key Responsibilities

Reception & Administrative Support

- Greet and welcome clients, visitors, vendors, and employees in a professional and friendly manner.
- Answer, screen, and direct incoming phone calls and emails.
- Maintain a clean, organized, and professional reception area.
- Coordinate appointments, meetings, conference rooms, and visitor schedules.
- Assist with data entry, filing, photocopying, scanning, and other administrative responsibilities.
- Provide general clerical support to office staff as needed.
- Follow visitor sign-in, security, and other established office procedures.
- Handle confidential and sensitive information with discretion.
- Relay messages promptly and accurately through phone, email, and in-person communication.

Hospitality & Client Relations

- Provide a seamless and welcoming experience for clients and guests.




- Respond to client needs and special requests with a high level of professionalism and customer service.
- Manage meeting room bookings, setups, and scheduling to avoid conflicts.
- Coordinate catering, lunches, deliveries, conference room setups, and teardowns.
- Print and assemble presentations and materials for meetings and corporate events.
- Assist with occasional site visits and logistical support for business events.

Facilities & Office Coordination

- Partner with internal teams to coordinate meetings, catering, and audiovisual or IT requirements.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Monitor office supplies and coordinate replenishment as needed.
- Work closely with the Toronto Office Manager to support day-to-day office operations and facilities needs.

Qualifications

- Bachelor’s degree from an accredited institution required.
- 2+ years of experience in a Receptionist, Office Coordinator, Office Manager, or similar administrative role.
- Excellent verbal and written communication skills.
- Professional, friendly, and customer-service oriented.
- Highly organized, responsive, and detail-oriented with strong follow-through.
- Sound judgment and the ability to appropriately escalate issues.
- Ability to manage multiple priorities in a fast-paced professional workplace.
- Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
- Experience within financial services or another professional corporate environment is a plus.
