Reporting to the General Manager, the Service Writer has responsibilities with both Customer relationships, and the administration of the business. This role has specific responsibilities as follows:
o Safety
Role model a ‘safety first’ attitude amongst the team
o Tasks:
o General:
Open / close front office – locks, lights and signs
Use current tools to communicate with internal staff
Cleanliness of front office
o Customer Communication:
First to answer the phone / greet walk-in customers
Monitor shop calendar and be aware of ‘incoming’ customers
Check customer inquiries on emails, SM, Payment boxes[GM1] [DG2] , and other communication tools
o Work Orders and Invoicing:
Open work orders and, when necessary, ensure customer specific criteria are incorporated in the work order
Request approval for work from Fleet clients
Authorize work orders in SM
Request customer PO number, where applicable
Conduct a final review of completed work orders prior to sending the completed invoice to customers
Send invoices to clients for payments
Receive client payments
Internally flag work orders that require immediate attention / have gone stagnant
o Receivables / Payables:
Watch for and advise the GM on overdue accounts receivables
Review payables and input necessary data for electronic payments to our suppliers Handle customer complaints as required
o Other duties which may be required from time to time which may or may not fall within the overall scope of this role
Pay: $25.00-$30.00 per hour
