Bach Counselling Group, an established North Vancouver mental health clinic, is seeking a highly organized, proactive Clinic Operations & Client Care Coordinator. This varied administrative and operations role keeps the practice running smoothly while providing thoughtful, professional, and compassionate communication to clients, counsellors, and practicum students. The role runs on a connected software stack, so you're confident with technology and quick to learn new tools.

What You'll Do
Clinic Operations
Coordinate day-to-day clinic operations, and maintain and improve administrative systems, workflows, and technology
Manage counsellor schedules, availability, cancellations, and appointments across multiple counsellors and locations
Identify and resolve scheduling and operational issues, and prepare reports and operational documents
Client Care & Communication
Respond to client inquiries by phone, email, and text — promptly, professionally, and compassionately — and confidently book clients into care
Coordinate new inquiries, intakes, consultations, and appointments, and support clients with scheduling, transfers, fees, and policy questions
Handle sensitive, confidential client information with discretion
Support counsellor and practicum-student onboarding, scheduling, and administration
Serve as the central point of contact for administrative and operational questions
Assist with billing, payments, invoices, and account inquiries, and track operational and scheduling data
What You Bring
Excellent written and verbal English communication, with a warm, professional, client-focused manner
Exceptional organization, attention to detail,
and follow-through — you close every loop
Sound judgment and discretion with confidential information; a proactive, independent problem-solver who thrives in a fast-paced environment
Genuinely tech-proficient — already capable across a connected software stack and quick to master new tools. Strong Excel/Google Sheets (building and maintaining reports); experience with Jane App, Slack, and a help-desk/shared-inbox tool such as HelpScout is a robust asset (comparable platforms welcome)
2+ years in administrative, clinic, healthcare, or client-service work (healthcare or counselling setting an asset), including scheduling and appointment management

Compensation: $22–$27 per hour, based on experience
