The Max Delbrück Center for Molecular Medicine in the Helmholtz Association aims to transform tomorrow’s medicine through our discoveries of today. At locations in Berlin-Buch, Berlin-Mitte, Heidelberg and Mannheim, our researchers harness interdisciplinary collaboration to decipher the complexities of disease at the systems level – from molecules and cells to organs and the entire organism. Through academic, clinical, and industry partnerships, as well as global networks, we strive to translate biological discoveries into applications that enable the early detection of deviations from health, personalize treatment, and ultimately prevent disease. First founded in 1992, the Max Delbrück Center today inspires and nurtures a diverse talent pool of 1,800 people from over 70 countries. We are 90percent funded by the German federal government and 10percent by the state of Berlin.
Job Description
Supporting the Head of the Staff Unit with administrative, organizational and coordination tasks
Managing day-to-day operations, including emails and incoming/outgoing mail, telephone calls, correspondence and digital filing in both German and English
Managing appointments and calendars as well as organizing, preparing and following up on meetings and committee sessions
Organizing and processing business travel expenses as well as placing orders via the procurement portal
Supporting the onboarding of new employees, conducting subject-specific research and maintaining the IntraMax page
Independently organizing occupational health check-ups and coordinating safety-related training
Maintaining and updating databases and records relating to first aiders, fire safety assistants, safety officers and genetic engineering
Organizing and distributing first-aid supplies
Preparing and processing cost center and budget data from SAP in Excel
Providing backup support for hazardous substances management and accident reporting
Participating in the MDC secretarial coordination meetings and communicating relevant information within the Staff Unit
Requirements
Completed vocational training as a foreign language secretary, office management professional with appropriate proof of foreign language proficiency, or a comparable qualification
Very good written and spoken German and English
Professional experience in an assistant, secretarial or office administration role
Proficiency in common IT applications and Microsoft Office
An independent, structured and service-oriented approach to work
Strong organizational skills and a high degree of initiative
A responsible and discreet approach to handling confidential information and personal data
A solution-oriented and reliable way of working
An open, communicative and team-oriented personality
Knowledge of data protection and confidentiality requirements
Ideally, experience with administrative processes in public-sector or scientific institutions
