Qualifications
MINIMUM FORMAL EDUCATION/TRAINING REQUIRED:
- A University undergraduate degree is required.
- A degree in the social sciences or helping profession is preferred.
EXPERIENCE:
- Minimum two years of directly related academic advising experience involving first-year undergraduate students is required.
- A thorough knowledge of student services offered on the Fort Garry U of M campus and familiarity with the Fort Garry U of M campus is preferred.
- Experience making public presentations and/or teaching experience is required.
- Use of Microsoft Office applications and Banner(INB) Student information System is preferred.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS & ABILITIES (Required Competencies):
- Demonstrate knowledge of theory relevant to academic advising.
- Ability to understand academic advising approaches and strategies, including articulation of a personal philosophy of academic advising.
- Facilitation of individual, and group, problem solving, decision-making, planning and goal setting.
- Demonstrate knowledge of the characteristics, needs and experiences of first-year students.
- Ability to employ culturally inclusive active listening techniques including paraphrasing, reflecting and asking open-ended questions for the purpose of clarity and rapport building.
- Ability to write clear and concise communications, including but not limited to emails, reports and proposals.
- Articulation of messages effectively and professionally, in one-on-one and group settings.
- Ability to choose and utilize appropriate technology to enhance communications and demonstration of adaptability in the face of fast-paced technological change.
- Demonstrate empathy: perceive, evaluate and effectively respond to emotions in others; show sensitivity and understand others perspectives
- Must be able to contribute to a positive team culture within and outside of the unit,
including working collaboratively with others and paying attention to how the team supports its members.
- Support students to build skills related to social connection, resilience, coping, personal capacity for health and other dimensions of well-being.
- Demonstrate adequate understanding of the complexity of elements significant to members of another culture in relation to history, values, religion, politics, communication styles, economy, or beliefs and practices.
- Use of inclusive, respectful language in all communication.
- Ability to identify when, and with whom to implement appropriate crisis management and intervention responses, including awareness of campus resources and processes.
- Ability to maintain an appropriate degree of confidentiality that follows applicable legal requirements, facilitates development of trusting relationships, and recognizes when confidentiality should be broken to protect the student or others.

Key responsibilities
- Provides advice to current and prospective students by drop-in, phone, virtually or e-mail on a daily basis to seek advice about course and program planning, admission, academic status, etc.
- Reviews and discusses with students their personal and academic experiences with respect to academic policies, course selections, experiences and problems, academic and career goals, etc.
- Considers and approves/denies requests for deferred examinations, letters of permission and authorized withdrawals to STSC Academic Advising Lead/Director.
- Acts as a resource for academic and administrative staff in matters of University 1 or University policy and procedures.
- Advises supervisor of problems with policies, procedures, and system.
- Maintains up to date knowledge of system operation and advises appropriate personnel of problems.
- Conducts recruitment information sessions for prospective students, parents, high school teachers, principals and other administrators.
- Reviews transfer credit and implications for future registration.
- Approves change of grade forms.
- Conducts various presentations and pre-registration sessions.
- Participates as a facilitator in events for orientation and welcome activities.
- Maintains up to date knowledge of best practices in academic advising and student development theory.
- Creates and supports student programming related to student development and outreach.
- Organizes and presents various information and pre-registration sessions for new first year students.
- Organizes and presents recruitment info sessions for students, prospective students, parents, high school teachers and other administrators.
- Organizes and implements programming for current students with emphasis on student development and intrusive advising.
- Revises appropriate section of the Policy and Procedures Manual as necessary.
- Updates University 1 sections of the Academic Calendar.
- Assists with academic assessments for warnings and suspension and University 1 Honours List.
- Processes prerequisite reports, checks student files to determine that students are legitimately deficient, takes appropriate action and advises students of the actions taken.
- Designs, update or revises office forms and form letters.
- Participates in and occasionally presents material at workshops and conferences affiliated with the secondary or post-secondary educational systems.
- Acts as liaison between FYC and the Admissions office, Student Affairs, Academic Departments.
- Completes projects assigned by Supervisor.
- Performs other related duties as assigned.
