OVERVIEW
London Digestive Disease Institute (LDDI) is a state of the art, out of hospital endoscopy and clinical research clinic in London, Ontario. We are seeking a dedicated and highly organized Administrative Assistant to join our team. As the first point of contact for our patients, you will play a central role in the smooth day-to-day operation of the clinic. This is a patient-facing role, and exceptional interpersonal and communication skills are essential.
Full working proficiency in the Accuro EMR is a mandatory requirement for this position. Please do not apply unless you have this experience.
RESPONSIBILITIES
- Greet patients warmly and manage check-in and check-out procedures for clinic and endoscopy visits.
- Manage incoming calls, triage inquiries, and book, confirm, and reschedule appointments and procedures.
- Provide clear information to patients regarding clinic services, procedure preparation instructions, and pre- and post-procedure requirements.
- Maintain complete and accurate patient records in Accuro, including scheduling, chart notes, referral intake, and document management.
- Process referrals from primary care and specialist providers, and ensure timely triage and follow-up.
- Coordinate correspondence between physicians, referring providers, hospitals, and patients.
- Support the clinical research team with administrative tasks such as scheduling study visits, filing, and document preparation.
- Maintain a clean, organized, and welcoming reception and waiting area.
- Perform general administrative duties including data entry, scanning, faxing, and managing office and clinical supplies.
QUALIFICATIONS AND EXPERIENCE
- Full proficiency in Accuro EMR is required. Please state your level of Accuro experience in your application.
- Demonstrated excellence in customer-facing communication — a warm, professional, and reassuring manner with patients is essential to this role.
- Previous experience as a receptionist or administrative assistant in a medical office is required; experience in a gastroenterology or endoscopy clinic is a strong asset.
- Working knowledge of OHIP billing practices.
- Familiarity with medical terminology.
- Strong organizational skills with meticulous attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and remain composed and professional in a rapid-paced clinical environment.
- Discretion and a firm understanding of patient confidentiality and PHIPA obligations.

- Pay: $22.00 – $24.00 per hour
