ROLE DESCRIPTION The Administrative Assistant will be responsible for the following:
- Manage all new business and in-force insurance servicing
- Support Ocean 6 advisors with administrative support and other relevant or related responsibilities as required by Ocean 6
- Prepare and send meeting reminders, follow-up emails, and client communication
- Prepare, organize, and process documents securely related to insurance applications and investment accounts
- Independently write/process insurance applications once licensed and fully onboarded
- Track pending applications and follow up on outstanding requirements or underwriting requests
- Liaise with insurance carriers and investment fund companies to obtain client information or status updates
- Maintain and update client records in CRM systems, ensuring accuracy, privacy compliance (e.g., PIPEDA), and proper archiving to support audits and regulatory reviews
QUALIFICATIONS
- 3+ years of administrative experience or related work experience (financial services experience is a bonus)
- Experience working in a high-end client service environment
- Previous experience handling confidential client information and regulatory documentation
- Strong attention to detail and organizational skills with excellent verbal and written communication
- Professionalism and discretion when handling confidential client information
- Team-oriented mindset with the ability to work independently
- LLQP (Life License Qualification Program) not required at hire, but willingness to obtain it within 3 months of start date is
COMPENSATION & BENEFITS
- $50,000 - $68,000
