Position Overview

Evertrust Development Group Canada Inc. is seeking a proactive and client-focused Administrative Coordinator to support daily operations at our Welland office.

This role is central to buyer and resident coordination. The successful candidate will serve as a key point of contact for purchasers, assist with pre-delivery and post-delivery communications, and support the property management team with tenant and building-related matters. This position works closely with the local Welland team and coordinates regularly with the company’s Head Office in Markham.

This role is ideal for someone who is organized, detail-oriented, and comfortable communicating directly with buyers, residents, contractors, and internal departments.

Key Responsibilities

Buyer & Client Coordination

- Act as the primary administrative contact for buyer inquiries, including pre-closing questions, document submission, and appointment scheduling.
- Assist with the coordination of Pre-Delivery Inspections (PDIs), key handovers, and occupancy orientations.
- Prepare, organize, and track buyer-related documents, including agreements, amendments, and closing checklists.
- Communicate professionally with purchasers regarding important updates, next steps, and post-occupancy procedures.
- Maintain accurate buyer contact records and communication logs.

General Administration & Office Support

- Greet visitors, clients, contractors, and other individuals attending the office as required.
- Answer and direct telephone calls, emails, and general inquiries in a professional manner.
- Prepare, scan, copy, file, and maintain company documents and records.
- Assist with data entry, spreadsheets, reports, and other administrative records.
- Receive, organize, and distribute incoming mail, courier deliveries, and correspondence.




- Monitor office supplies and assist with ordering or maintaining office materials as required.
- Maintain electronic and physical filing systems and ensure records are properly organized.

Property & Project Support

- Communicate with vendors, contractors, property managers, residents, and external parties as directed by management.
- Assist with scheduling appointments, meetings, inspections, site visits, and other office activities.
- Support management with administrative follow-ups related to property issues, service requests, and resident concerns.
- Assist with basic invoice, receipt, purchase, and expense documentation, forwarding relevant records to the appropriate department.
- Coordinate documents and information between the Welland office and the Markham Head Office.

Confidentiality & Compliance

- Maintain strict confidentiality when handling company, employee, client, financial, and project-related information.
- Support other administrative, operational, property, or project-related tasks as assigned by management.

Qualifications

Required:

- Previous experience in an administrative, customer service, reception, or coordination role.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Comfortable using Microsoft Office (Word, Excel, Outlook) and ability to learn new software.
- Ability to manage multiple tasks, prioritize,



and follow up on outstanding matters.
- Strong attention to detail and accuracy.
- Professional, courteous, and approachable when dealing with internal and external contacts.
- Reliable, responsible, and able to maintain confidentiality.
- Ability to work independently and collaboratively with different teams.

Preferred (Assets):

- Experience in property management, real estate development, construction, or a similar office environment.
- Familiarity with Tarion warranty processes, PDI procedures, or new home closings.
- Understanding of basic accounting documentation (invoices, receipts, purchase orders).

Work Environment This is an in office position based in Welland, Ontario, working Monday to Friday. The Administrative Coordinator will work closely with the local Welland team while providing regular administrative support and coordination to Evertrust's Head Office and other departments.

Compensation

Starting compensation is from $18.00 per hour, with the final rate determined based on the candidate’s experience and qualifications.
