ADMIN & HR LEAD – CHILDCARE
Location: Alberta
Employment Type: Full-Time
Position: Admin & HR Lead
Industry: Early Learning & Childcare
We are looking for an experienced, organized, and highly dependable Admin & HR Lead to join our childcare management team.
This position is ideal for someone who is confident managing human resources, administrative operations, staff documentation, recruitment, compliance, and employee relations within a fast-paced childcare workplace.
The successful candidate will work closely with senior management and Program Supervisors to ensure that staffing, HR processes, documentation, and administrative requirements are handled accurately, consistently, and in accordance with organizational policies and Alberta childcare requirements.
Key ResponsibilitiesHuman Resources & Staffing
- Lead the recruitment and hiring process, including job postings, screening, interviews, reference checks, and onboarding.
- Coordinate new employee documentation and ensure all required records are complete before employees begin working.
- Maintain accurate and up-to-date employee files.
- Monitor staff certifications, training, First Aid/CPR, criminal record checks, vulnerable sector checks, and other required documentation.
- Track employee attendance, leaves, resignations, terminations, and changes in employment status.
- Work closely with Program Supervisors regarding staffing needs, vacancies, employee concerns, and scheduling matters.
- Support management with employee performance concerns, workplace issues, investigations, and disciplinary processes.
- Ensure staff changes and employment information are communicated to payroll accurately and on time.
- Maintain confidentiality of employee and organizational information.
Alberta Childcare Compliance
- Ensure HR documentation and staff records meet applicable Alberta childcare licensing requirements.
- Monitor staff qualifications and required documentation to support licensing compliance.
- Assist with licensing inspections, requests for documentation, investigations, and follow-up requirements.
- Maintain organized records and ensure documents can be provided promptly when required.
- Stay informed about changes to Alberta childcare legislation, regulations, policies,
and employment requirements.
- Work with management and Program Supervisors to ensure compliance expectations are consistently implemented across centres.
Administration
- Oversee day-to-day administrative processes and ensure deadlines are met.
- Maintain organized electronic and physical records.
- Prepare reports, staff documentation, letters, forms, and other administrative materials.
- Manage employee correspondence and HR-related communication.
- Assist with payroll administration by ensuring employee changes and required information are submitted accurately and on time.
- Maintain HR trackers, staff lists, training records, and other internal databases.
- Support management with audits, reporting, documentation, and special projects.
- Identify administrative gaps and implement processes to improve efficiency and accountability.
Leadership & Communication
- Serve as a key point of contact for employees and Program Supervisors regarding HR and administrative matters.
- Provide clear direction and support to management and staff.
- Handle sensitive and confidential matters with professionalism and discretion.
- Follow up on outstanding documentation and ensure staff and supervisors meet established deadlines.
- Maintain professional communication across all levels of the organization.
- Work collaboratively with senior management to implement policies, procedures, and organizational changes.
Qualifications & Experience
- Previous experience in Human Resources, administration, childcare management, or a related field.
- Experience working in a licensed childcare environment is strongly preferred.
- Strong understanding of Alberta childcare licensing requirements is an asset.
- Knowledge of employment standards and HR best practices.
- Excellent organizational and time-management skills.
- Solid written and verbal communication skills.
- High level of attention to detail and accuracy.
- Strong problem-solving and decision-making abilities.
- Ability to handle confidential and sensitive information appropriately.
- Proficiency with Microsoft Office, Google Workspace, HR/payroll systems, and other administrative software.
- Ability to manage multiple priorities and meet strict deadlines.
- Previous experience in a leadership or supervisory role is preferred.
