We are seeking a motivated, organized, and dependable Assistant Clinic Manager to join our community medical clinic in Edmonton.

The Assistant Clinic Manager will work closely with the Clinic Manager to support the day-to-day operations of the clinic, coordinate staff, maintain efficient patient flow, and help create a qualified and welcoming environment for patients, physicians, and employees.

This is an excellent opportunity for someone with medical office experience who is ready to take on additional leadership responsibilities and grow within a busy community healthcare setting.

Responsibilities

- Assist the Clinic Manager with the overall daily operations of the medical clinic.
- Coordinate front-desk operations, staff coverage, physician schedules, and patient flow.
- Support and supervise Medical Office Assistants (MOAs) and other administrative staff.
- Help ensure physicians and healthcare providers have the administrative support and resources required for their practice.
- Monitor clinic workflow and assist with resolving scheduling, operational, and patient-service concerns.
- Support the onboarding and orientation of new physicians, employees, and other healthcare team members.
- Assist with staff training, coaching, performance improvement, and maintaining workplace expectations.
- Maintain accurate and confidential patient information within the clinic's Electronic Medical Record (EMR) system.
- Ensure patient privacy and confidentiality requirements are followed.
- Assist with maintaining clinic policies, procedures, safety protocols, and appropriate documentation.
- Monitor medical and office supplies and coordinate ordering when required.
- Assist with administrative tasks, invoices, expenses, and general resource management.
- Help address patient concerns and complaints professionally and escalate matters to the Clinic Manager when appropriate.
- Communicate effectively with physicians, staff, pharmacies, laboratories, specialists, healthcare organizations,



and other external partners.
- Assist with maintaining a clean, organized, professional, and patient-friendly clinic environment.
- Provide coverage and operational support when the Clinic Manager is unavailable.

Qualifications
- Previous experience working in a community medical clinic, physician's office, or similar healthcare environment is strongly preferred.
- Previous supervisory, team lead, or medical office management experience is an asset.
- Experience working with an Electronic Medical Record (EMR) system; Healthquest experience is an asset.
- Good understanding of medical terminology and community medical clinic operations.
- Experience supervising, training, or supporting administrative staff is preferred.
- Strong organizational and time-management skills.
- Ability to prioritize multiple responsibilities in a busy and rapid-paced clinic.
- Strong communication and interpersonal skills.
- Professional and respectful when dealing with patients, physicians, staff, and external organizations.
- Ability to handle confidential and sensitive information appropriately.
- Strong problem-solving skills and the ability to remain professional during challenging situations.
- Comfortable working independently while also contributing as part of a healthcare team.
- Knowledge of Alberta healthcare processes and community medical clinic operations is considered an asset.
