Job Summary An Associate Relationship Managers primary responsibility is account administration through the processing of various client based financial and non-financial transactions, adhering to required timelines and priorities.
An Associate Relationship
Manager is required to work as part of a team to support the building of solid relationships, by ensuring all documents and transactions are completed with a high level of accuracy and clarity in accordance with Olympia guidelines.
Duties & Responsibilities Team-Specific Build and maintain positive relationships with clients and business partners by providing responsive, professional, and timely service.
Support Relationship Managers with assigned accounts and ongoing client needs, acting as a secondary point of contact for general inquiries and service requests.
Respond to and coordinate general client and issuer inquiries, ensuring requests are understood, appropriately documented, and directed to the appropriate internal teams for resolution.
Review, organize, and submit incoming processing requests received through designated channels, ensuring information is complete and follows established procedures.
Assist with transaction processing activities and issue resolution, working collaboratively with internal teams to help ensure positive client outcomes.
Provide support on online platforms, tools, and service offerings to clients, promoting a positive user experience.
Support account maintenance, reconciliations, and record reviews to help ensure information remains accurate and up to date.
Maintain accurate records of client interactions, verifications, requests, and follow-up activities in accordance with departmental procedures and service standards.
Identify opportunities to improve client service and operational efficiencies, while escalating complex matters to the appropriate Relationship Manager or business area. Maintain complete client files and ensure documentation is in good order.
Ensure all documentation follows internal and external audit and regulatory requirements.
Communicate directly with clients and continuously follow up with third parties for various updates and implement action to resolve outstanding documentation issues and escalate where appropriate.
Responsible for ensuring that all outstanding documentation is received and followed up on.
Stay informed and understand individual client needs with the ability to recognize opportunities to further educate clients.
Provide legendary, personalized client experience when conducting outbound calls to clients.
Remain up to date on all Olympia products, services, and legislative requirements.
Ensure the efficiency of business processes, policies and procedures, to deliver on client commitment with speed and quality.
Coordinate responses with other departments as necessary to ensure proper procedures and service.
Actively assist and participate in projects and team meetings.
Flexible to perform a variety of tasks as required to support the team, business, and organizational priorities.

Formal
Education & Experience High school Diploma is required.
Post-Secondary education in Business Administration, Management, Economics or related field of study is an asset.
1 - 3 Years of Financial or Investment industry experience is an asset.
2 - 3 Years of Administration experience is an asset.
2 - 3 Years of Customer Service experience is an asset.
Specialized
Skills & Knowledge Team-Specific Understanding investment products and registered plans, including familiarity with RRSPs, RRIFs, TFSAs, RESPs, and other registered account types.
Strong client service and relationship management skills, with the ability to build positive working relationships and provide professional support to issuers/EMD’s, clients, relationship managers, and internal stakeholders.
Effective communication and coordination abilities, with the capacity to gather information, communicate requirements clearly, and support successful outcomes across multiple teams and stakeholders.
Working knowledge of the securities industry, including a general understanding of investment transactions, transaction lifecycles, and expected client and operational outcomes to effectively support relationship management activities.
Strong problem-solving and organizational skills, with the ability to think critically, develop practical solutions, consider operational and client impacts, manage competing priorities, and maintain a high level of accuracy and attention to detail. General Thorough understanding of the Anti‐Money Laundering (AML) policies and procedures is an asset.
Intermediate level with Outlook and Microsoft Office products and internet applications is required.[MS1] Proficient understanding of how the Division operates is an asset.
Bilingual in French and English communication both written and spoken is an asset.
