About the Role

We are seeking an organized, customer-focused Automotive Service Advisor & Front Office Administrator to oversee daily shop operations. In this key role, you will be the face and voice of our shop—handling phone inquiries, booking appointments, writing service orders, and sourcing required auto parts to keep our technicians productive and on schedule.

Key Responsibilities

- Customer Service & Booking: Greet incoming clients, answer phone calls, schedule service appointments, and provide accurate updates on vehicle status.
- Service Writing & Estimates: Translate customer concerns into clear work orders, write repair estimates, and review completed service bills with clients.
- Parts Sourcing & Ordering: Coordinate with parts suppliers to lookup, order, price, and track components needed for daily repair jobs.
- Administrative & Invoicing: Manage daily shop invoicing, process payments, and organize customer files/work orders.
- Shop Coordination:



Communicate directly with technicians to maintain an efficient workflow throughout the shop day.

Qualifications & Skills

- Experience: 2 years of experience in an automotive service desk, dealership, or shop administrative role (experience as a Service Advisor or Parts Desk Specialist preferred).
- Technical Knowledge: Strong familiarization with general automotive terminology, maintenance schedules, and basic repair procedures.
- Software & Computer Skills: Proficiency using shop management management/invoicing software and online supplier parts ordering platforms.
- Communication: Excellent phone etiquette, explicit writing skills, and strong interpersonal abilities.
- Multitasking: Proven ability to manage multiple priorities in a fast-paced environment.
