Emcee Construction and Management Ltd. is seeking a book keeper and office manager for our busy, and growing, construction company. We are looking for a dedicated employee who will fit in to our company long term.
Position Summary The Bookkeeper / Accounting Administrator is responsible for the day-to-day accounting and administrative functions of the company, with a primary focus on accounts payable, accounts receivable, invoicing, data entry, reconciliations, and maintaining accurate financial records.
The successful candidate will work closely with Project Managers, vendors, clients, and Senior Management to ensure financial information is processed accurately, efficiently, and in accordance with company policies and project requirements.
Key ResponsibilitiesAccounts Payable & Accounts Receivable
· Process accounts payable and accounts receivable transactions accurately and in a timely manner.
· Troubleshoot vendor invoices and supporting documentation prior to Project Manager review and approval.
· Respond to routine vendor and client inquiries regarding invoices, payments, and account balances.
· Process and maintain vendor and customer records.
· Prepare cheques and EFT payments for management approval.
Project Billing & Administration
· Assist with project set-up and close-out in Procore.
· Prepare monthly client invoices based on Project Manager billing breakdowns.
· Prepare Statutory Declarations and supporting documentation for client invoicing.
· Process Purchase Orders and invoices through Ariba and other client-specific financial systems.
· Maintain accurate project financial documentation and records.
· Assist with tracking project billing and outstanding receivables.
Banking, Credit Cards & Reconciliations
· Process company credit card statements and employee expense reports.
· Track company credit card balances and process payments as required.
· Prepare monthly bank and credit card reconciliations.
· Assist with routine accounting entries and maintaining accurate general ledger records.
Tax & Compliance Support
· Assist with monthly GST preparation and remittance.
· Assist with annual Workers’ Compensation reporting.
· Maintain organized documentation to support financial and compliance requirements.
General Administration
· Maintain accurate and organized electronic and physical accounting records.
· Provide administrative support to the Controller and management as required.
· Communicate professionally with internal and external stakeholders.
· Participate in company safety initiatives, events, and other administrative activities.
· Assist with website and social media updates as required.
· Perform other duties as assigned.
Qualifications & Skills
· Post-secondary education in Accounting, Business Administration,
or a related discipline is preferred. Previous bookkeeping or accounting administration experience, preferably within the construction industry.
· Basic to intermediate understanding of construction accounting is considered an asset. Familiarity with construction industry terminology and processes, including Purchase Orders, Subcontracts, WCB, and client billing requirements.
· Experience with Procore and QuickBooks is a definite asset.
· Experience with Ariba or other client-specific invoicing platforms is an asset.
· Intermediate proficiency with Microsoft Office 365.
· Strong data-entry skills with attention to detail and accuracy.
· Excellent organizational and time-management skills with the ability to prioritize multiple deadlines.
· Effective written and verbal communication skills.
· Ability to identify discrepancies and follow through to resolution.
· Ability to work independently while contributing effectively to a team.
· Ability to handle confidential financial and employee information with discretion.
· Willingness to learn and adapt to recent software, processes, and procedures.
Working Relationships
This position works closely with the Senior Management, Project Managers, management, vendors, clients, and other internal team members to support the efficient operation of the company’s accounting and administrative functions.
Pay: $65,000.00-$85,000.00 per year
