Genius Medical is a rapidly expanding, contemporary Family Physician clinic located in the highly sought-after Pandosy area of Kelowna. As we continue to grow, we are seeking an experienced Clinic Operations Manager to lead the day-to-day operational management of our clinic.
This is not a traditional front-office management role. We are looking for a confident operational leader who enjoys building systems, leading people, solving problems, and creating a culture of accountability and excellence. You will work closely with the CEO and leadership team while taking ownership of the clinic's daily operations and helping shape the future of a rapidly growing healthcare organization.

Salary: $32.00–$40.00 per hour, commensurate with experience, leadership capability, and the level of independence you bring to the role.
90-Day Performance Review: Structured review based on leadership, operational performance, and achievement of agreed milestones.

About the Role
As our Clinic Operations Manager, you will be responsible for ensuring every aspect of the clinic operates efficiently, professionally, and consistently.
This is a hands-on leadership position requiring excellent judgement, initiative, confidence, and accountability.
We will provide comprehensive onboarding to Genius Medical's workflows, policies, systems, and Electronic Medical Record platform. However, we are seeking someone who already possesses proven leadership experience and can confidently manage the day-to-day operations of the clinic with minimal supervision following onboarding.
Key Responsibilities
- Operations Leadership
Lead the day-to-day operations of our modern 5,000 sq ft medical clinic,
ensuring efficient workflows, exceptional patient experiences, and smooth daily clinic performance.
- Leadership & Team Management
Lead, mentor, schedule, and support our Medical Office Assistant team while fostering a respectful, accountable, and high-performing workplace culture. Provide clear leadership, maintain professional standards, manage performance, and ensure clinic policies and procedures are consistently followed.
- Recruitment & Human Resources
Assist with recruitment, interviewing, onboarding, staff development, and performance management as the clinic continues to expand.
- Operational Excellence
Work closely with the CEO to develop, implement, and continually improve clinic policies, workflows, quality improvement initiatives, and operational systems.
- Operational Decision-Making
Exercise sound judgement when managing day-to-day operational challenges, proactively identify workflow improvements, independently resolve routine issues, and appropriately escalate strategic matters.
- Systems, Finance & Administration
Oversee inventory management, administrative systems, private billing, third-party insurance reconciliation, and become highly proficient with our Electronic Medical Records platform.
- Wellness Division Oversight
Provide operational oversight of our multidisciplinary wellness services to ensure seamless integration alongside our family practice.
- Patient Experience
Professionally manage escalated patient concerns while ensuring our front-of-house consistently delivers an exceptional patient experience.
Qualifications
- Leadership Experience (Required)
Previous experience leading, supervising, or managing a team is required. Experience managing a medical clinic, healthcare practice, or other professional service organization is strongly preferred.
- Operational Leadership
You naturally take ownership, make sound decisions,
remain calm under pressure, solve problems proactively, and enjoy improving systems and processes.
- Independence
This is a senior operational leadership position. While comprehensive training will be provided on Genius Medical's systems, workflows, and policies, we are seeking someone who already possesses proven leadership experience and can confidently manage the day-to-day operational needs of the clinic with minimal supervision after onboarding.
- Professional Presence
Comfortable working alongside physicians, senior leadership, and administrative staff while maintaining professionalism, discretion, confidence, and appropriate professional boundaries.
- Technology
Confident learning new software and digital systems. Experience with Electronic Medical Records (particularly TELUS CHR) is considered an asset but is not essential.
- Communication
Excellent interpersonal, organizational, written, and verbal communication skills with the ability to confidently manage competing priorities.
- Accountability
You follow through on commitments, take ownership of outcomes, maintain high standards, and continually look for opportunities to improve the organization.
