Job Summary The Commercial Lease Administrator is responsible for the full administrative lifecycle of commercial leases — from abstraction and system setup through reporting, compliance, and renewal. This role works closely with the Commercial Leasing, Revenue, Accounting, and Legal teams to ensure lease data is accurate, tenant obligations are met, and reporting is timely. The ideal candidate combines strong attention to detail with working knowledge of commercial lease language and property management systems (e.g., Yardi).

Job Duties Lease Administration & Compliance
· Read commercial leases and prepare accurate lease abstracts; enter tenant and lease details into Yardi (or equivalent system).
· Monitor and ensure tenant compliance with lease terms, including for new tenant turnovers to the Operations team.
· Maintain accurate, up-to-date floor plans and coordinate remeasures as required.
· Maintain tenant insurance compliance in accordance with lease requirements.
· Draft and prepare lease-related documents: renewals, extensions, terminations, sublet agreements, estoppel certificates, and vacancy/possession notices.
· Draft new lease agreements in consultation with the Leasing and Legal teams, where applicable.
Financial & Transactional Support
· Set up tenant expense pools, verify broker commission statements, and track tenant inducement allowances for processing.
· Prepare leasing invoices and default notices (non-payment/arrears) for Commercial Team review and approval.
· Track tenant and landlord build-out costs and progress.
· Support annual TMI recovery preparation and budget cycles in coordination with Accounting.
· Assist with due diligence documentation for property purchase/sale transactions.
Reporting & Communication
· Generate lease expiry and amendment activity reports; flag upcoming expirations to the Commercial Team.
· Maintain lease sections of monthly property management reports.
· Attend weekly leasing updates with the Commercial Team and VP.
· Liaise with landlords, tenants, brokers, and the Revenue Administrator on lease activity and market conditions.
· Stay current on legal and regulatory developments affecting commercial leasing.
Education & Experience
· College diploma or university degree required.
· Minimum 3 years of experience in commercial lease administration or a closely related field.
· Solid working knowledge of commercial lease language and terminology.
Skills & Attributes
· Proficiency with Yardi or comparable property/lease management software.
· Strong organizational and time-management skills, with the ability to manage multiple deadlines.
· Excellent written and verbal communication skills; professional demeanor with tenants, brokers, and internal stakeholders.
· Working understanding of accounting principles as they relate to lease financials (TMI, recoveries, budgets).
· Detail-oriented with robust analytical and problem-solving skills.
· Comfortable working independently in a fast-paced, deadline-driven environment.
This role may occasionally include other lease-administration-related duties as assigned by the commercial team, consistent with the scope of the position.
Pay: $50,000.00-$65,000.00 per year
