Construction Program Coordinator

Your Position & How You Will Contribute:
Reporting to the Director of Construction, the Construction Coordinator plays a key role in supporting the successful planning, coordination, reporting, and administration of telMAX's FTTH outside plant construction program.
The Construction
Coordinator acts as the central point of coordination between Construction, Engineering, Project Management, Finance, Resident Relations, vendors, and other internal stakeholders. This role is responsible for maintaining accurate construction reporting, coordinating vendor administration activities, supporting project governance, managing customer-related construction inquiries, and ensuring critical construction processes are executed efficiently. The successful candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced construction environment while maintaining exceptional customer service and communication.
Responsibilities & Key Duties
- Coordinate day-to-day administrative activities supporting the Construction department.
- Maintain construction documentation, project records, trackers, and departmental files.
- Coordinate internal meetings, prepare agendas, record action items, and track deliverables.
- Assist Construction Managers with project coordination and administrative support.
- Support the onboarding of new construction vendors and maintain contractor documentation.
- Coordinate construction-related purchase requisitions and administrative approvals as required.
- Act as the Single Point of Contact for all Public Locate submissions.
- Escalate delayed locate activities that may impact project delivery.
- Serve as the Single Point of Contact for the Construction and Finance Vendor Verification process.
- Assist with invoice validation and vendor documentation when required.
- Support the administration of contractor agreements and related records.
- Provide administrative and coordination support to the Project Management Office (PMO).
- Assist with project reporting,
milestone tracking, schedule updates, and documentation.
- Coordinate project information required for governance meetings and executive reporting.
- Maintain project status trackers and ensure information remains current and accurate.
- Support project closeout activities and documentation.
- Act as the Single Point of Contact (SPOC) for all Resident Relations requests associated with Construction.
- Coordinate responses to customer concerns, restoration issues, warranty items, and construction inquiries.
- Receive and manage Zendesk tickets, ensuring requests are acknowledged promptly and assigned to the appropriate construction vendor.
- Track requests through to completion and provide timely updates to internal stakeholders and customers.
- Monitor response times and resolution performance to ensure a positive customer experience.
- Primary resource for Construction reporting.
- Maintain departmental dashboards, KPIs, and milestone tracking.
- Monitor project performance, vendor productivity, and milestone completion.
- Identify reporting trends, risks, and opportunities for operational improvement.
- Ensure data accuracy across construction systems and reporting tools.

Experience
- Minimum 3-5 years of experience in construction coordination, telecommunications, utilities, infrastructure, or project administration.
- Experience supporting construction or capital infrastructure projects is preferred.
- Experience coordinating vendors,
contractors, or field operations.
- Experience working with project management and reporting systems.
- Experience supporting customer service or resident relations activities is considered an asset.
Education
- College diploma or university degree in Business Administration, Construction Management, Project Management, Engineering Technology, Telecommunications, or a related discipline.
- CAPM, PMP, Project Coordination, or equivalent certifications are considered assets.
- Advanced Microsoft Excel and reporting skills are considered an asset.
