The Opportunity The Project Coordinator is a key member of the project team and supports successful project delivery from project setup through closeout. This role works closely with Project Managers, Site Superintendents, consultants, clients, suppliers, and subcontractors to keep communication clear, documentation current, and commitments moving forward.

Responsibilities:
Project Administration
- Maintain accurate project documentation, filing systems, logs, and records.
- Coordinate subcontracts, purchase orders, project correspondence, and contact lists.
- Maintain submittal logs, RFI logs, change order logs, and project document tracking.
- Review and distribute shop drawings and other project documentation as required.
- Assist with project setup and turnover from estimating to operations.
Project Coordination
- Assist Project Managers with planning, scheduling, and day-to-day project coordination.
- Prepare meeting agendas, meeting minutes, and action-item tracking.
- Follow up with consultants, subcontractors, suppliers,
and clients to confirm commitments and deadlines.
- Help identify risks early and escalate issues before they affect project performance.
- Support smooth communication between office and site teams.
Financial and Contract Support
- Prepare subcontract agreements and supporting documentation for Project Manager review.
- Assist with schedule of values, progress claims, change orders, and contract administration.
- Review invoices after Project Manager approval and support accurate project cost records.
- Maintain organized backup documentation for forecasting, billing, and decision-making.
Project Closeout
- Prepare warranty tracking checklists and coordinate required closeout documentation.
- Collect and file operating manuals, warranties, record drawings, and turnover documents.
- Prepare maintenance manuals and as-built packages.
- Provide completed electronic closeout documentation within two weeks of substantial completion where required.
Continuous Improvement
- Participate in project reviews and lessons learned discussions.
- Look for ways to improve project administration, communication, and documentation processes.
- Pursue ongoing learning and share knowledge with the team.
Qualifications:
- Two plus years of construction, project coordination,
or construction administration experience.
- Strong organizational, time-management, and follow-up skills.
- Excellent written and verbal communication abilities.
- High attention to detail and ability to manage multiple priorities.
- Proficiency with Microsoft 365, including Excel, Outlook, Word, Teams, and SharePoint.
- Valid driver’s license and reliable transportation.
Preferred Qualifications
- Diploma or degree in Construction Management, Engineering Technology, Architecture, Business, or equivalent experience.
- Experience with commercial, institutional, multi-family, or residential construction projects.
- Understanding of construction drawings, specifications, contracts, submittals, RFIs, and project schedules.
- Experience with construction management software and document control systems.

Pay: $75,000.00-$95,000.00 per year
