Description
Job Requirements The Coordinator, Employee Wellness, Health & Leaves is responsible for the end-to-end administration and coordination of employee health-related and designated leaves. This includes short- and long-term disability, maternity and parental leaves, WCB claims, and other collective agreement and handbook leaves.
The role partners with employees, leaders, unions, and external stakeholders to support safe and timely return-to-work outcomes, remove barriers, and ensure compliance with applicable legislation, policies, and collective agreements. The Coordinator also manages complex administrative processes, reporting, and documentation related to employee health, wellness, and leave programs.
Specific Accountabilities
Disability and Leave Management
- Coordinate the full lifecycle of employee leaves, including short-term disability, long-term disability, WCB, and non-medical leaves.
- Support employees in transitioning between leave types, including short-term to long-term disability.
- Review, adjudicate, and process leave requests in accordance with policies, collective agreements, and legislation.
WCB and Claims Management
- Manage all aspects of WCB claims, including reporting, adjudication support, follow-up, and return-to-work planning.
- Act as the employer representative with third-party stakeholders (e.g., WCB, insurers, medical providers).
- Monitor claims, ensure timely communication, and support resolution of issues or barriers.
- Maintain accurate records and complete required reporting, including annual assessable earnings submissions.
Return to Work and Accommodations
- Develop, implement,
and monitor return-to-work and accommodation plans in collaboration with employees, leaders, and medical professionals.
- Collaborate with Occupational Health & Safety and internal partners to source and track accommodation supports and equipment.
Employee Support and Case Coordination
- Respond to employee health inquiries and provide guidance on leave and wellness processes.
- Promote early and safe return-to-work practices and support attendance management programs.
Data, Reporting, and Administration
- Review and validate absence and leave data for accuracy and completeness.
- Maintain accurate records in HR systems and update internal wellness resources and portals.
- Ensure timely processing of advantages, approvals, and terminations in collaboration with the broader People Services team.
Other Duties
- Contribute to continuous improvement initiatives within Employee Wellness and People Services.
- Perform other related duties as assigned.
Qualifications
- Certificate in Disability Management, Vocational Rehabilitation, or a related field; or an equivalent combination of education and experience is preferred.
- Minimum of two (2) years of experience in human resources, disability management, insurance, or claims administration.
- Demonstrated experience interpreting and applying legislation, policies, and collective agreements.
- Knowledge of relevant legislation, including WCB, Human Rights, and Employment Standards
- Experience in public sector and/or multi-union environments is preferred.
- Familiarity with attendance management programs and return-to-work practices.
- Experience with Human Capital Management Systems (e.g., PeopleSoft) is an asset.
