As a key member of GFL’s dynamic team, the Office Administrator is a personable professional with a proven track record providing exceptional front-facing support. The role provides administrative support to the entire office. The successful candidate will demonstrate exceptional customer service and communication skills while having the ability to multi-task in a fast-paced environment. This position requires an enthusiastic individual who presents themselves with a professional demeanor and a positive attitude, with very high attention to detail. Key Responsibilities
Payroll & Timesheet Support: Collect, verify, and process daily/weekly timesheets for branch staff with exceptional accuracy to ensure smooth payroll operations. Accounts Payable & Financial Admin: Manage Purchase Orders (POs), process incoming invoices, assist with journal entries, and resolve billing discrepancies in a timely manner. Travel & Transport Logistics: Coordinate, book, and manage all travel arrangements, including flights, hotel accommodations, and ground transportation for team members. Fleet & Fuel Card Management: Oversee fuel card allocation, tracking, auditing, and reconciliation across the branch team. General Office Support: Assist the Office Manager with daily administrative tasks, file management, and maintaining up-to-date branch records. Process Improvement: Proactively identify opportunities to streamline data entry, accounting support, and office workflows. Requirements & Qualifications
Experience: 1–2+ years of administrative support experience, ideally within a industrial, operational, or branch office setting. Tech Proficiency: Intermediate-to-advanced skills in MS Excel and Google Sheets, with a proven track record of accurate data entry. Financial Aptitude: Solid understanding of basic accounting practices,
specifically Purchase Orders (POs), invoicing, and journal entries. Reliable Transportation: Must have your own reliable personal vehicle/transportation to commute to the office location. Adaptability: Demonstrated ability to multi-task, prioritize deadlines, and pivot quickly in an evolving, fast-paced environment. Experience handling high-volume hotel and flight bookings for operational teams is an asset. Professional verbal and written communication skills with a comfortable, professional phone presence. Business Administration diploma, certificate, or equivalent combination of education and experience is an asset.
